Job Description
Position Summary


The purpose and mission of the Indianapolis Fire Department is to provide emergency and fire protection services for the City of Indianapolis and surrounding areas. Firefighters are also trained as paramedics, emergency medical technicians, extrication specialists, top water and rescue divers, confined space, trench rescue and as hazardous materials technicians to help save lives, protect property, and the environment. The agency is able to do this by cultivating a productive, collaborative, and compliant work environment in order for our workforce to meet the needs of the constituents of Indianapolis and Marion County.


Job Summary


The position is responsible for assisting in the activities of the Human Resources division of IFD. Incumbent is responsible for activities including tracking of firefighters off work due to on duty and off duty injury and illness by coordinating the limited duty program, coordinating the return to work and annual physical fitness exams. Incumbent in this position must adhere agency policies and procedures which guides most of their actions. Incumbent in this position must have high personal integrity and honesty. Position reports to the Manager Human Resources.

Position Responsibilities


  • Ensures compliance with IFD General Orders and labor management contract
  • Coordinates departmental yearly Personal Fitness Evaluations (PFE’s) for all firefighters
  • Updates HRIS to ensure data is accurate and maintains database records
  • Assists in the administration of hiring and promotion processes for onsite and offsite locations
  • Provides back up support to other HR team-members
  • Works with DOD contacts in reference to firefighters serving in the National Guard or Reserves directed to temporary active military status and on leave from the IFD
  • Coordinates the light duty and return-to-work programs and annual fitness exams
  • This list of duties and responsibilities is not intended to be all-inclusive and may be expanded to include other duties or responsibilities that management may deem necessary from time to time
  • Performs weekly check-ins with employees on extended leave in compliance with departmental policy
  • Analyzes time off data to identify any trends of abuse of medical leave time
  • Receives work status reports from the IFD Health and Wellness Coordinator and treating physician to verify employee’s eligibility to return work
  • Oversees the filing of G.I. Bill paperwork for recruit firefighters and on the job training
  • Must maintain strict confidentiality at all times
  • Assists with requests for file access from other agencies and courts if requested


Qualifications


High school diploma or equivalent and three (3) years of related work experience in Human Resources working with leave programs. Knowledge of laws, rules and regulations regarding FMLA, and HIPAA privacy regulations. Ability to coordinate multiple projects and meet various deadlines. Knowledge of spreadsheet(s), database(s), and Microsoft Office. Must have excellent written and verbal communication skills. Positive and productive interaction with employees, vendors, leadership, and union participants is expected. Must be able to prioritize daily demands and organize projects to meet deadlines. Discretion and confidentiality in handling overly sensitive and private matters. Must be able to type accurately.


Preferred Job Requirements And Qualifications


Associates degree in Human Resources, Business Management, or related field with one (1) year of related work experience in Human Resources working with leave programs. Knowledge of laws, rules and regulations regarding FMLA, and HIPAA privacy regulations. Ability to coordinate multiple projects and meet various deadlines. Knowledge of spreadsheet(s), database(s), and Microsoft Office. Must have excellent written and verbal communication skills.
