The City of Thousand Oaks is in search of a highly motivated and detail-oriented Assistant HR Analyst to support the Human Resources Department's strategic operations. With a focus on supporting municipal risk management and leave administration processes, this position is vital to ensuring extraordinary service for our staff and for the community we serve. KEY RESPONSIBILITIES include providing administrative, technical, and programmatic support for:
- Insurance Coverage: Collaborating with insurance brokers and department key contacts to ensure appropriate coverage for potential risks, such as property damage, liability, or employee-related incidents.
- Documentation: Maintain accurate and organized records of worker’s compensation claims, medical leave requests, including incident reports, communications, and medical information
- Training and Education: Conducting training sessions on worker’s compensation policies, procedures, and prevention strategies to foster a safe work environment
- Data Analysis: Analyze historical data ( i.e claim metrics, costs) and trends to gain insights into past incidents/events and identify patterns that could help predict and prevent future risks
- Risk Mitigation: Developing strategies and action plans to address identified risks. This may include implementing preventive measures, creating contingency plans, or transferring risks through insurance or contracts.
- Employee Leave Administration: Receive and process employee leave requests, coordinate the approval process, and assist employees with leave-related inquiries, while maintaining accurate records, ensuring confidentiality, and upholding regulatory and legal compliance standards.
- Continuous Improvement: Continuously review risk management processes and outcomes to identify areas for improvement and enhance the overall risk management strategy.
- Communication: Facilitating clear and effective communication with internal and external team members (i.e. employees, supervisors, and third-party administrators) to answer questions and provide support and updates throughout the claims/medical leave process
- Claims Administration: Processing claims made and related documentation. This involves coordinating with insurers and relevant parties to reach timely resolutions.
Desired Qualifications:
- Bachelor's degree in Human Resources, Business Administration, or a related field.
- Support experience. Technical and/or administrative support experience in a human resources management program is desirable.
- Knowledge of Human Resources laws, regulations, and best practices, especially in the area of workers' compensation and insurance.
- Analytical and problem-solving skills, with the ability to interpret data and draw actionable insights. Must be adept at research, evaluating, assessing, and making recommendations.
- Two years of responsible technical, administrative, and/or programmatic
