Job Title: Operations Assistant, Human Resources
FLSA Status: Non-exempt

Position Summary: Day-to-day operations and administrative support for executing, maintaining and proactively supporting the Human Resource initiatives to meet operational, organizational and strategic goals and objectives.
Position Responsibilities:
- Maintain organization charts for the business.
- Compete verification of employment and other required employee paperwork
- First point of contact for all general HR-related inquiries including, but not limited to, HRIS, benefits and payroll information
- Initiate, schedule, prepare and complete paperwork for orientation. Ensure paperwork is up to date and filed according to company, State and Federal guidelines
- Ensure that office files are maintained with a commitment to ensure confidentiality of paperwork
- Responsible for ensuring all employment documents are scanned and filed appropriately in Workday.
- Liaise with the IT and Facilities teams regarding new hire equipment, seating and security passes.
- Assist HR Operations team with projects as needed, including M&A integration efforts, system data and process audits, and other EX initiatives
- Assist with ADP/Portal/WD password resets
- Maintain and update I9, W2, New Hire Requisition, DCF/VEHCHS binders per retention standards
- Track and audit employee training, ensuring proper follow up, compliance and recertification as required/appropriate
- Any other duties that may be within scope of the role.
- Provide basic reporting to HR Business Partners and stakeholders as needed.
- Work closely with the Academy recruitment team to ensure all appropriate tasks in Workday are accurate and complete.
- Maintain accurate balances for time off plans.
- Track new hire onboarding tasks and status within Workday and following up when necessary.
- Manage and process all new hires in Workday (HRIS system) for IMG Academy client group.
- Audit Workday regularly to ensure data integrity.
Knowledge, Skills and Ability
- Proficient with MS Office and data entry with Excel
- Desire to work collaboratively with colleagues and be team-oriented
- Knowledge or interest in applicable laws and regulations related to Human Resources
- Ability to multi-task in a fast-paced organization
- Administrative experience in a Human Resources/Personnel office
- Excellent customer service skills in person and via phone and email
- Ability to work with confidential information and maintain confidentiality
- Highly organized with the ability to juggle multiple projects
- Ability to maintain a high level of conduct and ethics in all employee and guest relations
- Ability to respond with urgency to employee requests
- Excellent written and verbal communication skills
Preferred Skills
- Experience with HRIS, SAP, ADP or related HR and payroll software
- HR experience working in an environment with a combination of exempt/non-exempt/seasonal employees
- Bilingual (English and Spanish)
- Bachelor’s degree in Human Resources or related field or HR certification
Physical Demands and Work Environment
- The role will occasionally require extended and weekend hours during peak seasons
- Must be able to move around campus which includes gym, turf, fields, etc.
- Should be able to handle outdoor temperatures
