Job Description
We are looking for an Executive Assistant to provide comprehensive support to the President of Workplace – Corporate Services and Energy & Resources in the US. This role is remote, allowing you to work from the comfort of your home office. Ideally, we'd prefer candidates residing in the Dallas, Texas area who are open to occasional travel (10-15%).
About The Role
As an Executive Assistant, you'll play a crucial role in ensuring the smooth operation of the executive's day-to-day activities. You'll keep them well-informed and prepared for upcoming commitments, offering valuable insights based on your deep understanding of our organization, business, processes, and people. Your responsibilities will span various administrative and project-oriented tasks, often involving sensitive and confidential matters.
Key Responsibilities
Act as the primary point of contact and gatekeeper between management, the wider team, and external partners/clients.
Collaborate with executives and senior administrative assistants to handle requests and provide recommendations.
Safeguard confidential information with utmost discretion.
Manage a complex calendar across different time zones and countries, demonstrating exceptional prioritization skills.
Prepare reports, email correspondence, letters, forms, and assist in developing presentations, research, and reading.
Handle Expense Reporting And Other Required Business Reporting Promptly.
Take on ad-hoc project management, office management, and event support.
Organize team meetings, events, and celebrations, including cross-functional planning and extensive event coordination.
Arrange all travel logistics, including flights and lodging, and ensure compliance with international travel regulations.
Create, maintain, and update reports to support executive decision-making.
Prepare presentations and other documents as needed.
Anticipate, draft, revise, and send correspondence on behalf of the President.
Serve as the subject matter expert for the department, addressing issues in the President's absence.
Possess excellent communication skills with a keen eye for detail when creating, editing, and proofreading communications.
Qualifications
Associates Degree (Bachelor's preferred).
Minimum of 3 years of experience as an Executive Assistant in a large matrixed for-profit company.
Proficiency in MS Office.
Strong organizational skills and the ability to manage competing priorities.
Outstanding written and verbal communication skills.
High energy, proactive, detail-oriented, self-motivated, and a strong team player.
Proven ability to work independently while also collaborating across segments and regions.
Culture champion, adept at supporting and maintaining high levels of engagement among teams.
Strong technology skills, including proficiency in Microsoft Suite, virtual collaboration tools (Teams, Zoom), Smartsheet, Calendly, and enterprise networks.

Position Summary
In this role, you will perform a wide range of administrative and general support duties of a highly responsible and confidential nature for a member of Sodexo's Senior Executive Leadership. Your work will vary and may include administrative or project-oriented tasks. You will need a thorough understanding of the principal's accountabilities and method of operation, as well as a detailed knowledge of company operations, organizational procedures, and personnel. Handling sensitive and confidential matters is a core part of this role.
Please note that this position is for above-unit support only and involves assisting COMEX members or COMEX-1, which includes RLC members.
Qualifications & Requirements
Basic Education Requirement: Associate's Degree or equivalent experience
Basic Functional Experience: Minimum 2 years
