Job Description
Are you an organized and detail-oriented individual who excels in administrative tasks? We're seeking a Remote Administrative Assistant/Secretary to join our team. In this role, you will be the backbone of our administrative operations, providing essential support to our supervisor and ensuring the smooth functioning of various programs. Essential Job Responsibilities
As a Remote Administrative Assistant/Secretary with us, you will:
Efficiently Manage Documentation: Type and format administrative correspondence, reports, and other documents as needed, maintaining a high level of accuracy and attention to detail.
Organize Administrative Records: Keep administrative, personnel, and program files well-organized and readily accessible.
Supply Management: Ensure an adequate supply of necessary forms, keeping them up to date and distributing them as necessary.
Calendar Management: Schedule appointments and coordinate both virtual and in-person meetings and events with precision.
Data Maintenance: Maintain databases and records as assigned, including processing reports and relevant correspondence.
Front Desk Duties: Answer incoming calls and serve as a welcoming receptionist as assigned, providing a positive first impression.
Resourceful Support: Offer assistance by answering inquiries concerning codes, rules, procedures, and programs, demonstrating excellent problem-solving skills.
Stay Informed: Attend and actively participate in meetings, seminars, conferences, and workshops to stay updated and engaged.
Financial Management: Manage the petty cash account and monitor accounts receivable/payable with a keen eye for detail.
Document Protocols: Maintain program operations manuals and protocols to ensure the efficient operation of our programs.
