Citi is looking to hire an Executive Assistant in our New York office to support the Global Functions and EO&T Human Resources team. This position will report directly to Sr. Human Resources Advisor for Enterprise Operations & Technology/ Internal Audit and support the Head of Talent and Diversity and back up other senior HR leaders as needed.
Daily responsibilities will include administrative support to multiple stakeholders. Duties are complex and confidential requiring the highest level of discretion and independent judgment. Employees within this role will have continuous contact/communication with high levels of internal management.
The Senior Executive Assistant provides support to another individual or group of individuals by handling correspondence, managing calendars and appointments, arranging conferences and conference calls, making travel arrangements and providing other administrative tasks.
Key Responsibilities:
- Produce ad-hoc reports using PowerPoint, Word and Excel and manage special projects as needed often requiring independent discretion and follow-up
- Monitor office supplies and process invoices through Citi’s P2P system
- Coordinate travel arrangements - both international and domestic (Team offsite, etc)
- Serve as back-up support for other administrative staff when required
- Manage and support the creation of executive level presentations, agendas and materials
- Coordinate all aspects of appointments, meetings and conference calls
- Maintain complex and frequently changing calendar through Outlook for multiple stakeholders
- Handle incoming calls and responsible for clerical and administrative duties to ensure smooth running of the function
- Assist in organizing GF and EIO&T group meetings / events / video conferencing, etc.
Qualifications:
- Knowledge of Citi processes preferred
- 5+ years of administrative experience
- Ability to gain strong command of new systems (P2P, Citi Travel & Expense)
- Energetic, responsive team player with the interest to work independently and as part of a team in a fast paced environment
- Sound judgment and discretion with respect to handling sensitive/highly confidential information
- Highly proficient in MS Office (Word, Excel, Outlook and PowerPoint)
- Bachelor’s degree is preferred
- Proactive, anticipatory and strong problem solving skills with ability to get things done
- Strong written and verbal communication skills
- Expert in multi-tasking and prioritization, handling short term deadlines and conflicting priorities
- Knowledge of clerical, data and administrative management practices and procedure
