Job Description
Position Overview:We are seeking an enthusiastic and detail-oriented Entry-Level Human Resources Staff member to join our HR team. The primary responsibilities of this role involve maintaining accurate staff records, ensuring timely completion of hiring documents, and managing staff certifications. This position offers an excellent opportunity to gain hands-on experience in HR processes and contribute to the smooth functioning of our organization.Key Responsibilities:Staff Record Management:Maintain an organized and up-to-date database of employee records, ensuring accuracy, confidentiality, and compliance with data protection regulations.Regularly update records related to personal information, contact details, job positions, and other relevant data.Assist in generating reports and metrics related to staff records as needed.Hiring Document Coordination:Collaborate with HR team members and hiring managers to facilitate the collection and processing of new hire paperwork.Ensure all required documents, such as employment contracts, tax forms, and benefit enrollment forms, are completed accurately and submitted on time.Communicate with new hires to address any questions or concerns regarding documentation requirements.Staff Certification Management:Monitor and track staff certification requirements based on roles and responsibilities within the organization.Collaborate with relevant departments to ensure that employees acquire necessary certifications within specified timeframes.Maintain an organized system for documenting and tracking employee certifications, renewals, and updates.Follow-Up and Communication:Initiate timely reminders and follow-up communication with staff members regarding upcoming certification expirations and document submissions.Respond promptly to staff inquiries related to record-keeping, documentation, and certification matters.Process Improvement:Identify opportunities to streamline and improve HR processes related to record-keeping, document management, and certification tracking.Contribute ideas and suggestions for enhancing the efficiency and effectiveness of HR operations.Compliance and Confidentiality:Adhere to all applicable regulations, policies, and procedures related to data privacy, confidentiality, and record-keeping.Maintain a thorough understanding of certification and documentation requirements specific to various roles within the organization.Qualifications:Bachelor's degree in Human Resources, Business Administration, or related field (or equivalent experience).Strong organizational skills with keen attention to detail.Excellent written and verbal communication skills.Proficiency in using HR software, databases, and Microsoft Office suite.Ability to prioritize tasks and meet deadlines in a dynamic environment.Strong interpersonal skills and the ability to work collaboratively in a team.High level of integrity and respect for confidentiality.Additional Information:This is a part time entry-level position. Monday-Friday 10am-2pm.
