Job Description

We’re looking for an organized, positive, and service-focused Office & HR Coordinator to work full-time in our North Hollywood headquarters, reporting to both our VP of People Ops and our VP of Operations & Production. You will sit at the Front Desk, handling reception and running the day-to-day office operations for our office/studios, as well as support HR-related initiatives/tasks for our onsite, hybrid, and work-from-home employee base.


Responsibilities:


Office


  • Manage all aspects of the daily lunch catering and service and any other special-event/celebration ordering/catering needs
  • Assist the VP of Operations & Productions with other various tasks, as requested
  • Open and manage the Front Desk reception area, greet guests, and handle phone calls and deliveries
  • Maintain office supplies, snacks, and more
  • Handle keys/fobs and parking communications
  • Ensure that the reception lobby is held to the highest standards, including cleanliness, security, snacks/drinks stocked, and decor


HR


  • Serve as administrator for the company’s Movie Club and Book Club, maintaining calendars and ordering rentals and books each month
  • Organize and send onboarding emails and documents to be sent to new hires
  • Order flowers, gifts, and recognition items for employees when requested
  • Ensure completion and digital filing of HR documents
  • Organize new hire swag, shipping to staff when necessary
  • Provide ad hoc support with employer branding, recruiting, company communications, and managing insurance, benefits, workers' compensation, etc.
  • Assist with parties, events, and company volunteer activities
  • Assist the VP of People Ops with other various tasks, as requested
  • Collaborate with Tech Ops for tracking computer inventory, assigning and reclaiming computers as needed
  • Help with Team Building initiatives by updating budgets, keeping a shared list of ideas, researching new ideas, and making any requested orders/purchases.


Requirements:


  • Discreet. Sound judgment and the ability to maintain confidentiality
  • Ability to construct basic graphic illustrations and visual documents (such as Canvas for company announcements, org chart updates, etc.)
  • Access to a car for running errands is preferred (including having a valid license and insurance)
  • Consistently dressed in appropriate reception business casual workplace attire
  • Strong attention to detail, follow-up, and organizational skills
  • Familiarity with Google Workspace and ability to manage basic spreadsheets and documents
  • The ability to lift/carry/move objects up to 50 pounds
  • A positive, can-do attitude, with a personal desire to be in a customer service role, in daily service to the needs of the company and to our employees
  • Highly proficient written and verbal communication skills
  • A high level of comfort in handling multiple tasks and effectively prioritizing them
  • Prior experience assisting operations, office, studio/production, or HR is a big plus
  • The ability to work independently, remain calm under pressure, and “think on your feet”
