Job Description
Overview:

Responsibilities:
As a Facilities Manager – Lab / Office Facility with Hines, you will have full responsibility and commensurate authority for the management of all maintenance and operations functions, budget, and assigned personnel at a designated Client’s headquarters which include leased office, lab, and warehouse properties. You will be responsible for maintaining the highest level of customer satisfaction by leading a team of Hines personnel and contracted vendors to perform the services in the Facilities Management agreement with the Client. Key areas of focus are lab services and operations, EH&S, regulatory compliance, asset management, and workplace services. Responsibilities include, but are not limited to:
  • Proactively manage personnel and solutioning to mitigate risk to the Client and Hines.
  • Lead Account Governance program to include establishing appropriate reporting relationships between Hines and the Client representatives, prepare and lead monthly, quarterly, and annual business reviews, and provide proactive, strategic insights and solutions.
  • Lead procurement of materials, supplies, and labor associated with the designated Client sites at the most favorable pricing available.
  • Submit monthly required reporting for the site, including metrics, project accomplishments and open issues.
  • Comply with all company, Client, and regional policies.
  • Develop and manage annual budgets and monthly variance reporting for the site.
  • Manage all client service requests and communication to requestor and business unit manager. Ensure requests are processed correctly, properly recorded in the work order system, and completed in a timely basis.
  • Ensure all work is completed in compliance with governing laws, codes, and regulations as well as client EH&S, security, and IT requirements.
  • Provide information and direct input in major fiscal activities, including budget preparation, financial planning and variance analysis. Provide economic justification for expenses including bidding of large purchase and/or price evaluation.
  • Review and approve vendor invoicing ensuring all required back-up has been provided.
  • Oversee the administration and management of all activities related to interior maintenance, cleaning, and client service requests, including proper insurance certificates are on file for all vendors working on site.
  • Lead onsite team and contractors in support of special events planned by others in on-site meeting rooms.
  • Develop and maintain positive relations with all occupying business units. Meet with business unit representatives on a regular basis to dispense information related to facility support and solicit input.
  • In partnership with the Client, develop long term capital plans and asset management strategies to maximize efficient and reliable property operations.
  • Develop and maintain ethical, professional, and courteous relations with client representatives, site occupants, and contractors.
  • Support all project, lab, and business unit managers for planning and implementing workplace and lab construction projects.
  • Inspect all facilities regularly, identify discrepancies, and coordinate repairs.
  • Coordinate efforts with landlord’s building management team to ensure effective resolution of issues affecting both the building and the Client.
  • Ensure proper and timely payment of all accounts payable including the coding, verification of accuracy, approval and forwarding for payment.
Qualifications:
Minimum Requirements include:
  • P&L responsibility and budgetary experience.
  • Compensation: $112,240 - $140,300.
  • Compose business letters, expositions, summaries, and reports, using proper format, punctuation, grammar, diction, and style.
  • Establish and maintain a cooperative working atmosphere among staff.
  • Maintain a calm demeanor in emergencies.
  • Analyze and interpret various types of data in order to draw conclusions and solve problems.
  • Though occurrences are rare, be accessible 24 hours a day in case of an emergency and perform on-site operations management during natural disasters or major weather events.
  • Bachelor’s degree from an accredited institution in business administration, facilities management, or engineering preferred.
  • Five or more years of related real estate/facilities work experience.
  • Perform numerical and financial calculations.
  • Transfer between properties and work overtime as business needs deem appropriate.
  • Exchange ideas, information, and opinions with others to formulate policies and programs and/or arrive jointly at decisions, conclusions, or solutions.
  • Speak before an audience with confidence, using appropriate communication skills/style.
  • Supervisory experience strongly preferred.
  • Demonstrate strong initiative and customer service orientation.
  • Ability to lift up to 25lbs.
  • Demonstrate proficiency in Microsoft Office software.
  • On occasion, perform physical inspections of the property which may include climbing up and down stairs or accessing restrictive openings.
  • Interact with employees, visitors and contractors with poise and diplomacy.
  • Use olfactory, auditory, and visual senses to inspect building and detect emergency alarms.
