POSITION PROFILE
The Events and Billing Coordinator is an administrative support position for Private Events and Finance. You will complete various administrative tasks and other special projects as needed
DUTIES AND RESPONSIBILITIES:
The following reflects management’s definition of essential functions for this job but does not restrict the tasks that may be assigned. Management may assign or reassign duties and responsibilities to this job at any time due to reasonable accommodation or for other reasons.
Administrative:
- Manage and obtain proper signatures for all revenue and payment adj's and provide finance with all adj backup.
- Be an administrative support for Events department's, inventory and order office supplies.
- Respond to all event inquiries within 24 hours and in an appropriate manner via email, phone and other forms of communication that may be deemed necessary.
- Create spreadsheets and presentations.
- Track and follow up on event inquiries in a timely manner
- Complete general admin tasks; i.e., filing, faxing, organizing, answering phone calls, responding to emails,etc.
- Assist with maintaining the Events Calendar
- Post all Wires and check payments and deposits to group accounts according to deposit schedules
- Assist with contracts and banquet event orders (BEO): creating, editing, reviewing, copywriting etc.
- Create all deposit and payment schedules within Caterease for all groups
- Participate in weekly meetings BEO and AR meetings.
- Lead weekly AR meetings with Director of Finance and PE Director to reconcile and close all group accounts.
- Manage and maintain PE checkbooks with all monthly purchases, receival of goods and services and Invoice processing to Accounting.
Coordination and Guest Experience:
• Establish and maintain strong client and management relationships.
- Identifies to whom and when to pass on guest complaints, and in a timely manner.
- Ability to receive and direct visitors.
- Employee Relations:
- Maintain a high level of Integrity and analytic ability to alert appropriate leaders to any extraordinary business operations that are not In line with company polices or procedures.
- Maintain positive and productive working relationships with all employees and departments.
- Excellent communication skills, both written and verbal, in English.
- Good time management skills; can manage and complete priorities and workflow, be detail oriented.
- Previous experience In finance, preferably Accounts Receivable.
- Works with a sense of urgency.
- Knowledge of food and beverage service industry
- Ability to work both independently and in a team environment and able to handle multiple tasks.
- Must have and be able to do all of the following:
- Take direction well; understand and follow written and verbal instructions.
- MINIMUM REQUIREMENTS
- Stamina to work up to 40+ hours per week in full-time positions.
- Ability to learn and perform in a fast-paced environment.
- Excellent computer skills, literate, and able to use software programs (e.g., MS Office).
- Can creatively solve problems and effectively implement solutions.
- WORKING ENVIRONMENT/MINIMUM PHYSICAL REQUIREMENTS:
- Maneuver freely through all areas of the property
- Must be able to respond to visual or aural cues.
- Continuously or periodically bend, twist, lean, lift, push, pull, kneel, bend, walk, stand, and/or sit up to 8+ hours per shift.
- Work in an environment where climate constantly changes.
- Must be able to tolerate varying noise levels, temperature, and illumination and air quality.
- Requires normal sense or smell, taste, touch and sound.
- You must the physical, visual, and auditory ability to perform the essential functions of the job, with or without reasonable accommodations and be able to meet the following requirements:
- Lift up to 50 pounds in order to perform the essential functions.
- Work in a stressful environment and stressful situations.
- Requires hand-eye coordination and manual dexterity.
