Job Description
Brightflow AI is seeking a HR and Recruiting Coordinator who will be responsible for supporting the People team in all aspects of recruiting, hiring, onboarding and offboarding employees and contractors, and other administrative responsibilities that fall in the HR domain. This includes posting job openings, scheduling interviews, assisting with reference checks, assisting with the preparation of offer letters, and supporting the Head of People in all things HR. The HR & Recruiting Coordinator will work closely with hiring managers to ensure the hiring process is efficient and effective.


Recruiting Coordinator


  • Post job openings to job boards, social media, and other online platforms
  • Consult, organize, and set up job openings from helping with job descriptions, and understand hiring requirements and specific job objectives, organizing the interview process
  • Ensure payroll and relevant information is communicated to accounting
  • Maintain the applicant tracking system (ATS), run reports to analyze health of pipeline, performance of various talent sourcing efforts
  • Coordinate all aspects of onboarding including scheduling new hire orientation, ordering equipment, entering data into various systems, and miscellaneous details tied to a welcoming and inclusive onboarding experience
  • Assist with offer letter preparation
  • Ensure candidates are moving through the interview process efficiently with a 24-48 SLA in scheduling next steps and candidate communications
  • Ensure interview teams and hiring managers are kept abreast of pipeline status and candidate progress in the pipeline
  • Coordinate and schedule interviews with recruiting, hiring managers, and interview panel
  • Conduct resume pre-screens and initial screen interviews
  • Assist with reference checks


HR Coordinator


  • Assist with the preparation of HR-related reports and presentations
  • Maintain employee records and ensure compliance with local, state, and federal regulations
  • Respond to general employee queries
  • Assist with off boarding employees
  • Assist with the planning and coordination of employee training and development activities
  • Stay up-to-date on employment laws and compliance regulations
  • Administrate HRIS/PEO systems
  • Participate in HR/People Team projects and initiatives as needed
  • Other administrative tasks as assigned
  • Administrate benefits


Requirements


  • Customer service and growth mindset
  • Excellent verbal and written communication skills
  • Experience with HRIS/PEO systems such as Rippling, Gusto, Just Works
  • Demonstrated ability in making process improvements
  • Highly organized and detail oriented
  • Familiarity with California employment laws and compliance regulations
  • Empathy
  • Experience with applicant tracking systems (ATS), such as Greenhouse or Breezy
  • Operates with a high degree of urgency
  • Minimum 3-5 years HR and/or Recruiting Coordinator experience


Highly Desired But Not Required


  • Work experience at a fintech and/or startup company
  • HR certification or coursework
  • Bachelor's degree in life sciences or business related field


Our salary ranges are calculated by role, level and geo-location. Your position within that range will be determined by your job-related knowledge, skills, experience, relevant education, and training/certifications. In addition to those factors, we also examine internal equity as well as consider current market rate, and title may be assessed one level lower or higher accordingly. After you join the company your performance, contributions, and results along with business and organizational needs will affect your base salary. The base salary range for this full-time position is between $65,000-$78,000 + equity + benefits for a hire located in the San Francisco Bay-Area.
