A leading University is seeking an Office and Events Assistant. The successful candidate will assist with daily box office event ticketing and event registration administration work including opening and/or closing box office/admin. office, follow up on event customer service inquiries and promptly inform department admin. staff on any department/client communications and issues that may arise as well as daily updates on office and event shifts, auditing transactions, websites, reports, etc The ideal candidate has tox office ticketing, management, and administrative experience for concerts and conferences at a performing arts center or university. Office And Events Assistant Pay And Benefits


  • Worksite: Leading University (Stanford, CA 94305)
  • Hourly pay: $21-$29/hr
  • 35 hours/week, 4 Month Assignment

Office And Events Assistant Responsibilities


  • Perform the above and other duties as needed and as instructed by the Manager and/or Director of Stanford Event Registration & Ticketing Management.
  • Create and maintain event builds including webpages, order confirmations, and various forms (e.g. surveys/enrollment./application/questionnaire), plus research and test current and new event software and equipment, etc.
  • Provide exemplary customer service when answering any questions customers may have, assisting them with purchasing event tickets and registrations, and transacting approved transfers and refunds.
  • Set up, work, and close all weekday, weeknight, and weekend event shifts (up to 3 hours each) at selected venues (e.g. set up laptop/s, ticket scanners, ticket printer/s, ticket stock, will call tickets, signage, etc. for each event), and provide detailed, prompt feedback.
  • Initiate regular, detailed feedback via email to the department Manager and Director.
  • Create, update, and proof Excel and other reports regularly, including prompt follow-up of any report irregularities.
  • Assist with daily box office event ticketing and event registration administration work including opening and/or closing box office/admin. office, follow up on event customer service inquiries and promptly inform department admin. staff on any department/client communications and issues that may arise as well as daily updates on office and event shifts, auditing transactions, websites, reports, etc
  • Demonstrate empathy for customers and a sense of urgency to assist in resolving concerns professionally while maintaining enthusiastic, positive rapport and abiding by policies.


Office And Events Assistant Qualifications


  • Knowledge of Microsoft Office Suite (in particular, intermediate or advanced level Excel), event ticketing, event/conference registration, and/or Customer Relationship Management (CRM) software.
  • Experience handling credit card transactions (purchases, partial and full refunds) accurately and with integrity.
  • Personal interest or background in performing arts (classical music, jazz, dance, theater, etc.), education events, hospitality, and/or sales.
  • Bachelor's degree.
  • Excellent interpersonal, business writing, problem-solving, time-management, multi-tasking, and organizational skills, and meticulous/attention to detail.
  • Must have box office ticketing, management, and administrative experience for concerts and conferences at a performing arts center or university.
  • Preferred experience in box office, hospitality, and direct sales.
  • Diplomatic, proactive, enthusiastic, team-oriented, and abide by all policies and procedures and follow department Manager’s and Director’s instructions well.


Shift


  • The number of hours and shifts per week will fluctuate from one week to the next, subject to job performance and business needs. No overtime.
  • Must work office and event shifts as scheduled by the department director, subject to change by the department director.
  • Event shifts for the rest of this calendar year will be mainly in the Fall quarter at various venues on campus (weekday, weeknight, and weekend; up to 3 hours for each event shift) and are subject to change by management and departments presenting the events.


Compensation: From $21.00 to $29.00 per hour
