Currently, we are seeking a Human Resources Administrator to join our Human Resources Group! The Human Resources Administrator will support the HR group in a wide range of activities, from running new hire orientation, coordinating meetings to maintaining the integrity of our employee database. This position will interact with employees daily ensuring prompt resolution of their questions and/or requests.
This role reports to the HR Manager and is a full-time position based primarily at our Waltham office. They will work out of Cannistraro's Center for Fabrication, Industry and Design Center (FID) in the Seaport on Monday of each week to present new hire orientation and will work out of our Waltham Corporate Headquarters the remaining days of the week. This position will be eligible to transition to a hybrid arrangement (up to 2 days per week remotely).
In This Role You Will
Onboarding/Offboarding Administration
  • Coordinate and present at weekly orientation for all the new hires in the office as well as assisting with paperwork at the union orientation.
  • Administer the company's Buddy Program.
  • Responsible for all tasks related to offboarding employees including but not limited to sending out term notifications, scheduling exit interviews and collecting equipment.
  • Responsible for all onboarding activities including but not limited to initiating the background checks; sending out new hire paperwork via Bamboo; putting together welcome packages, ensuring office set up; setting up IT and Safety orientation, and working with managers on orientation schedules.
HRIS Administration
  • Perform weekly audits of office and union employee data to ensure integrity in the HRIS system.
  • Accurately enter new hire information into the HRIS system, such as changes to titles, reporting manager, changes to benefits and salary.
  • Maintains accurate and up-to-date employee personnel files and documentation.
  • Responsible for submitting weekly changes to the payroll team.
General HR Administration
  • Review and distribute incoming HR mail.
  • Act as the back-up for the Benefits Administrator.
  • Provide administrative support to the Human Resources Director.
  • Assist with recruiting activities as needed.
  • Other duties as assigned.
  • Monitor HR email and business card inbox to provide timely response or escalation of incoming email inquiries.
  • Maintain the Human Resources intranet site.
  • Provide customer-oriented and responsive service to employees by answering a variety of questions including but not limited to benefits, hiring processes and standard policies.
  • Assist the HR team with various projects and tasks.
  • Assist with scheduling, planning and execution of team events such as monthly team meetings/lunches, holiday parties, and company events.
A Successful Candidate Will Have
  • Demonstrated proficiency with written communications.
  • Demonstrated ability to manage shifting priorities.
  • Bachelor's degree in human resources or equivalent experience in related field
  • Demonstrated communication skills, including the ability to quickly build rapport on the phone.
  • Demonstrated organizational skills and attention to detail.
  • Demonstrated customer service skills.
  • Demonstrated ability to problem solve.
  • Knowledge of Microsoft Office and HRIS systems
  • Ability to maintain a high level of confidentiality and professionalism.
  • Basic knowledge of labor laws
Physical Requirements
Sedentary Work - Exerting up to 10 pounds of force occasionally (Occasionally: activity or condition exists up to 1/3 of the time) and/or a negligible amount of force frequently (Frequently: activity or condition exists from 1/3 to 2/3 of the time) to lift, carry, push, pull, or otherwise move objects, including the human body. Sedentary work involves sitting most of the time but may involve walking or standing for brief periods of time. Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.
