Position Overview:

The Executive Assistant provides executive support and serves as the primary point of contact internally and externally. The Executive Assistant reports directly to the CEO, while supporting the entire C-Team and serves as a liaison to the leadership team, Board of Directors, and Shareholders. The Executive Assistant supports three primary categories: business, personal, and home. A wide degree of creativity, flexibility, and latitude is expected.

Key Functions/ Basic Duties:

Provides “gatekeeper” role for direct access to the CEO’s and C-Suite time;

Manages all calls, emails, daily schedules with multiple calendars, travel coordination and itineraries;

Provides a bridge for smooth communication between C-Suite’s office and internal departments to allow for greater efficiencies and a flow of information, demonstrating leadership to maintain credibility, trust and support at all levels of the company;

Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other takes that facilitate the C-Suite’s ability to effectively lead the company

Schedules and prepares C-Suite for meetings with business associates, investors, physicians, contractors, attorneys, employees, etc;

Arranges domestic and international flights, hotels, auto rentals and guest arrangements, negotiates hotel rates and sets up direct bill accounts;

Assists in coordinating the agenda of the Executive and Leadership Team meetings and off-site meetings;

Reconciles credit cards, as well as Corporate travel credit card;

Coordinates the payment of any bills as needed and functions as the household liaison with external vendors;

Handles personal duties and miscellaneous errands on a daily, weekly, or monthly basis as requested;

Assists with planning and executing Corporate events;

Other duties may be assigned.

Education and/ or Experience:

High School Diploma or equivalent. At least five years prior experience in the areas of administration, secretarial, bookkeeping or other related fields OR equivalent combination of education and experience that provides the knowledge, skills and abilities needed to perform the work.

Language Skills:

Fluent in English.

Computer Skills:

Basic knowledge of Microsoft Windows/Office. Proficient in Microsoft Teams is preferred.
