Job Description
Job Summary


Lifeline-EMS is seeking a highly organized, proactive, and professional Executive Assistant to provide comprehensive administrative support to the CEO, COO, and VP of Operations. The ideal candidate will be a self-motivated individual with exceptional organizational and communication skills, and who can thrive in a fast-paced and dynamic environment. The Executive Assistant will play a critical role in facilitating the smooth functioning of executive-level operations and ensuring efficient communication across various departments.


Essential Functions


  • The Executive Assistant will screen and direct incoming communications, including emails, phone calls, and other forms of correspondence, draft and proofread emails, memos, reports, and presentations on behalf of executives and maintain a high level of professionalism and confidentiality in all interactions.
  • The Executive Assistant will serve as a point of contact for internal and external stakeholders, demonstrating professionalism and excellent interpersonal skills.
  • The Executive Assistant will manage travel arrangements, arrange travel itineraries, including booking flights, accommodations, and ground transportation and prepare and submit expense reports accurately and in a timely manner.
  • The Executive Assistant will assist executives in tracking progress on strategic projects and initiatives and collaborate with cross-functional teams to gather information and compile reports. The Executive Assistant will also assist in special projects, research assignments, and initiatives as assigned by executives.
  • The Executive Assistant should be able to efficiently manage and maintain the executives' calendars, coordinating appointments, meetings, and events, and prioritize conflicting demands and proactively resolve scheduling conflicts.
  • The Executive Assistant will organize and schedule operational meetings, including preparing agendas, materials, and presentations, and record and distribute minutes of meetings, ensuring action items are tracked and followed up on.
  • The Executive Assistant will maintain a well-organized office environment, including ordering supplies and coordinating equipment maintenance.
  • The Executive Assistant will manage and organize electronic and physical documents, including contracts, reports, and sensitive information and ensure documents are properly archived and accessible when needed.


Qualifications:
  • Discretion and ability to handle sensitive and confidential information.
  • Demonstrated experience providing administrative support to senior leaders such as vice presidents, and or a similar role supporting C-level executives.
  • Adaptability to changing priorities and fast-paced environments.
  • Excellent verbal and written communication skills.
  • Professional demeanor and ability to represent executives internally and externally.
  • Bachelor's degree in Business Administration, Management, or a related field preferred.
  • Strong attention to detail and problem-solving abilities.
  • Proficiency in Microsoft Office Suite and strong technological aptitude.
  • Exceptional organizational skills with the ability to multitask and prioritize effectively.
