Department Summary
The UNT Career Center is the centralized career office responsible for the career development and employment of all UNT students and alumni. It has responsibility for all Student Employment, Internships, and Post-Graduate Employment of UNT students.
Position Overview
The Career Center Department at the University of North Texas is seeking to hire an Executive Assistant to join our team. This position is responsible for providing executive, administrative, analytical, and technical support to the Career Center AVP and managing the administrative operations for the department. Coordinates activities and acts as university-wide liaison. Identifies issues or problems and researches solutions within specific management areas. Prepares and conducts department onboarding and off boarding for department staff, GA’s and student employees (up to 50 employees), monitor FERPA training and submit documents per policy. Responsible for oversight of departmental budgetary activities, manages event accounts receivables and prepares bank deposits, prepares event profit and loss statements, serves as an I-9 Coordinator, prepares department requisitions (ePro), prepares and submits pre-travel and final expense reports, manages and orders office supplies, prepares, codes, and submits monthly Pcard reconciliation, prepares and submits conference registrations, makes travel arrangements via Concur, conducts annual space planning survey, serves as a department Safety Coordinator, maintains office machinery, coordinates activities and acts as department/area liaison handling issues that are very sensitive and confidential. This position serves as the primary contact for all departmental functions to include recommending and implementing special projects and administrative departmental procedures.

Minimum Qualifications
Bachelor’s Degree and five years of highly responsible and varied office administration or business management experience; or any equivalent combination of education, training, and experience.
Knowledge, Skills And Abilities
  • Demonstrated ability to effectively communicate verbally and in writing at an exemplary level.
  • Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.
  • Advanced MS Office skills.
  • Ability to conceptualize, plan and organize multiple programs and assignments effectively.
  • Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.
  • Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.
  • Knowledge and experience with accounting/budgeting procedures.
  • Knowledge of policies, practices, procedures and terminology of assigned function.
  • Skill in developing and maintaining good working relationships with individuals and teams.
Preferred Qualifications
The preferred candidate will possess the following additional qualifications:
  • Familiarity with UNT ePar, ePro, Cognos systems.
  • Office management experience preferred.
  • 3-5 years administrative office experience.
  • Some familiarity with Career Center operations helpful.

Job Duties
o
Supports AVP with calendaring, commitments, and projects related to vision and strategies of overall team and business operations.
o
Responsible for various special projects in support of the department or administrator related to personnel records, on boarding, off boarding, job postings, general office purchasing, asset purchasing, maintenance, and overall operations.
o
Contributes to decision-making, communications, and implementation of office infrastructure, policies, procedures, and operations.
o
Responsible for oversight of departmental budgetary activities including event documentation, accounts receivable, and banking, reviewing P&L statements for various activities within the department.
o
Responsible for the collection and analysis of data related to personnel and fiscal trends.
o
Assists with gathering, documenting, and reporting information related to office operations.
o
Coordinates activities on behalf of the department head for team and external constituents.
o
Identifies issues or problems and research solutions within specific management areas.
o
Oversees student worker(s) and provides I-9 verification services.
