Job Description
Our growing North area construction client company is seeking a temporary Executive Assistant to handle C-level support to their upper management team. The role is a blend of supporting the front office and also the executives at the corporate office. The ideal candidate should be organized, forward thinker with the demonstrated ability to respond effectively and efficiently while maintaining great flexibility. The right candidate should be innovative and knowledgeable. The incumbent must possess the ability to multi-task efficiently and prioritize workload and competing priorities on a daily basis, while at the same time providing superior customer service. This role demands a strong sense of urgency and the ability to work independently on assignments with sound judgement. There may be access to Executive Management with a possibility of exposure to high level sensitive and confidential information which must be handled professionally and with discretion at all times. A high level of attention to detail is imperative in all aspects of the responsibilities of the position. The candidate must be highly professional and poised, possessing strong people skills that represent the company well.


Essential Duties And Responsibilities


  • Assist with projects/conferences when needed
  • Creation of PowerPoint decks for meetings
  • File as necessary
  • Sorting and distributing mail
  • Arrange conference calls as needed
  • Meeting and greeting clients or guests
  • Completes expense reports for company executives as needed
  • Other duties as assigned
  • Arranging couriers if needed
  • Coordinate or help with coordination of office activities
  • Compose correspondence for executives' signatures as directed. Coordinate and process administrative items for executives' signatures
  • Schedules and prepares for meetings and events as they occur
  • Assists in the preparation and delivery documents
  • Keeping tabs and ordering office supplies
  • Sorting and distributing deliveries
  • Answering, screening and forwarding phone calls
  • Stocking and maintaining clean break rooms and kitchens
  • Keeping the reception and conference room areas tidy
  • Prepare memos, letters and other documents for distribution
  • Utilizes knowledge of company operations, policies, and department functions in performing duties, many of which are confidential in nature, with minimal direction.
  • Booking meetings for conference rooms

Education/ Experience


  • Working toward a four-year degree from an accredited college or university
  • Minimum 10 years senior level administrative experience with a minimum of 3 years C-level executive support experience preferred
  • High School Diploma or equivalent required
