Senior Administrative Assistant
Job Summary:
The Marathon Martinez Renewable Fuels Refinery has an opening for a Senior Administrative Assistant who will support the General Manager and other department leaders as assigned. The candidate must be able to handle multiple organizational needs and priorities in a calm, professional, confidential and confident manner. The successful candidate will be a highly self-motivated individual with strong organizational, interpersonal, and forward-thinking demeanor. The candidate must be a team player and eager to work with, support and back up other administrative assistants at the refinery. The hours of the position is Monday- Friday approximately 7:30 AM - 4:30 PM.
Key Responsibilities:
  • Maintain office, copier and mail supply inventories for assigned areas in the administration building. Maintain by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
  • Interact with both external and internal contacts through written, electronic, telephone and face-to-face communication politely and professionally.
  • Maintain executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Assure timely completion of various reports reflecting the activities of the executive’s organization.
  • Perform administrative routines which include setting up meetings, scheduling conference rooms, ordering supplies, and updating organizational documents.
  • Prepare expense reports timely and proactively.
  • Create and format documents such as correspondence, presentations, memos, reports from rough drafts, making changes in grammar, punctuation or spelling as needed. Routinely handles sensitive, confidential information. May maintain databases.
  • Organize programs, events, meetings or conferences by arranging facilities and caterers, issuing invitations, coordinating speakers and controlling the event budget. Events maybe local, corporate or involve external stakeholders for the site including the JV Board of Directors.
  • Act as a point-of-contact for vendors and participants involved in events.
  • Coordinate events on and off-site for various internal and external stakeholders. May managing training, equipment, and materials to ensure efficient and effective delivery of training.
  • Make informed decisions regarding General Manager’s availability when scheduling appointments. Keep General Manager apprised of action items, messages and relevant business issues, both internal and external. May prepare meeting agendas and/or scribe minutes.
  • Act in a relief capacity for other administrative support professionals which may include having a working knowledge of training systems, maintenance planning, payroll and/or scheduling.
Education, Experience and Skills
Minimum Qualifications
  • Must have excellent interpersonal skills and a preference for collaboration, including proven success working with others; ability to work with high profile individuals internally and externally.
  • Must be able to physically perform all tasks and take hair drug test and physical.
  • Travel Requirement is 5% or less.
  • Must have professional demeanor with excellent work ethics with the ability to follow policies and procedures and look for continuous improvement.
  • Must be proficient in Microsoft Word, PowerPoint, Excel, and TEAMS.
  • Must have the capacity to handle significant responsibilities with minimal supervision
  • Must have a High School Diploma or GED.
  • Must have clean and valid driver’s license.
  • Must have excellent organizational/prioritizing, commitment to tasks, communication, customer service, interpersonal, and analytical skills.
  • Must have a minimum of 5 years of administrative assistant experience supporting a General Manager and large department.
  • Must be proficient with Concur or other business travel software for business expense processing. Must be willing to and able to learn other software applications.
  • The hours of the position are Monday- Friday approximately 7:30 AM - 4:30 PM.
  • Must be able to type 50 wpm.
  • Must be legally authorized to work in the US without the need for future VISA sponsorship.
  • Must have excellent grammar and written communication skills
Preferred Qualifications
  • Executive level administrative assistant support experience is preferred.
  • Experience with maintenance planning, learning management systems, scheduling, and/or payroll software is preferred.
  • TWIC card preferred.
  • Associate degree or equivalent in business administration or related field preferred.
Relocation is not available.
