Executive and Personal Assistant, Ionic Partners

We are searching for a high-performing Executive and Personal Assistant – with at least two years of administrative assistant experience – to support Ionic Partners’ C-level Executive. We’re seeking someone who is resourceful, pragmatic, and highly organized with an ability to run multiple tasks smoothly & efficiently. Additionally, the Executive and Personal Assistant is comfortable interfacing with all levels of internal management and staff as well as outside clients, vendors, and candidates in a fast-paced environment.

Core EA Responsibilities
- Other tasks as assigned.
- Manage calendar, calls, and emails in a highly organized professional manner.
- Prioritize and manage internal & external requests.
- Travel management (domestic and international).
- Support Ionic Partners C-level Executive on a wide-range of day-to-day activities and projects.
- Coordinate meetings across multiple time zones.
- Handle sensitive materials such as legal documents, invoices, presentations, etc.
- Conduct purchasing tasks for the company.
- Book restaurant reservations, social engagements, and various appointments.
- Interact and effectively communicate with external vendors and business contacts.
Core PA Responsibilities
- Work collaboratively and communicate effectively with other household members, staff, and personal contacts.
- Provide support with household tasks such as running errands, mail retrieval, and maintaining stock/supplies.
- Coordinate, organize and support event planning (dinners, birthdays, fundraisers).
- Travel management (domestic and international). Be available and online during travel days to support any changes.
- Create and manage calendar: schedule personal appointments (medical, pets, cars, household staff, maintenance, etc.)
- House vendor and contractor management and sourcing.
- Assist with bill pay, expenses, and financial document preparation.
Requirements
- The role is hybrid remote with in-person work required each week.
- Occasional after-hours work may be required.
- Proactive, strategic planner who considers all scenarios, gathers all pertinent information before communicating.
- Must possess personal tact and good judgment; excellent interpersonal, written, and verbal communication skills.
- Strong attention to detail, follow-up, and excellent organizational skills.
- Ability to treat sensitive and confidential information with appropriate discretion.
- This is a full-time employee position with benefits that include health insurance and unlimited PTO (vacation, personal & sick).
- Proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
- Bachelor’s degree preferred.
- Candidates must be based in Austin, TX.
- 2+ years administrative support experience within a fast-paced professional environment.
- A vehicle, driver's license and insurance are needed to occasionally run errands.
- Ability to function professionally under pressure, while managing multiple concurrent projects and deadlines.
- Strong sense of urgency, adaptability, flexibility, and resourcefulness.
