About The Job
As an Administrative Assistant you will be responsible for handling a wide range of high-level and detailed administrative and executive support related tasks for two senior executives. The AA will conduct research, prepare reports, handle information requests, maintain and organize records, reports and documents and perform other tasks such as receiving visitors, arranging conference calls, and scheduling travel and meetings. The AA will work cross-departmentally within FHD and across the Globe enterprise to coordinate communications, meeting requests and information needs. This position will work independently with little or no supervision and anticipate the needs of the executives in order to meet last minute requests.

Be a team player, show initiative and foster favorable relationships with agents, agency owners, senior leadership, FHL staff and Globe support community. Exercise sound judgment displaying tact, discretion, and confidentiality in handling sensitive and confidential matters and documents. Must be flexible, punctual, and reliable.
Primary Duties and Responsibilities;
  • Handles other duties as assigned
  • Ensures all work is done on time and to a high-quality standard
  • Coordinates and arranges detailed travel plans, meetings and itineraries along with compiling documents for travel-related meetings
  • Conduct research, collect and analyze data to prepare reports and documents
  • May travel to and attend key meetings with Executive
  • Prepare, proofread and edit communications, presentations and other documents
  • Takes detailed notes from conference calls and executive meetings
  • Develops detailed Excel spreadsheets and graphical reporting using data warehouse and other sources
  • Coordinates monthly and quarterly reporting, updating information timely and accurately
  • Manages the Executive’s calendar and schedules appointments to maximize efficiency
  • Maintain an organized filing system of paper and electronic documents
  • Ensures Executive is prepared for all meetings and calls
  • Manages the monthly expense submission and payment process for Executives
  • Develops professional presentations using PowerPoint
Required Skills

  • Ability to identify, analyze, and solve problems with practical solutions and presents ideas effectively
  • Strong communication skills, both written and verbal, with excellent grammar and writing skills
  • Excellent attention to detail, and executes responsibilities with a sense of urgency and follow-through
  • Works independently and creatively with strong organizational and task management skills
Required Experience
  • Minimum 7 years prior work experience
  • Minimum four years prior experience supporting a senior executive
  • Intermediate to advanced Microsoft Office skills
  • High school diploma. Some college or post-secondary education preferred.
