This role is 100% remote and based anywhere in the Central or Eastern time zones ideally. West Coast will be considered if you are an early riser.
We are looking for an experienced Executive Assistant with experience in a software/tech company to support our Chief of Staff and CEO. In this role, you will provide dynamic and invaluable support in every dimension of your work. We are looking for someone who has solid executive assistant experience but aspires towards (and is capable of) moving into other areas of the business longer term. Our client is a well-funded software/technology startup with 40 employees that is growing quickly.
Responsibilities:
- Posts jobs to our LI, assists in recruiting by scheduling interviews
- Processing expense reports and arranging travel
- Provide Human Resources admin support and aid in Policy creation/implementation.
- Assist with calendar management of the calendar of the Chief of Staff and the CEO
- Manage and update the company’s internal knowledge base/Notion pages with up-to-date information
- Manages daily correspondence and filing, organizes and maintains electronic document filing systems.
- Create and deliver contracts, presentations, spreadsheets and official documents for shipping, invoicing, etc.
- Assist in conference/event planning and meeting facilitation
- Create new internal processes for smoother ways of working
- Maintain high levels of discretion of all business information and knowledge, at all times
- Onboard and Off-board employees from creating templates, onboarding decks, managing assets, etc.
- Assist with ad hoc research and tasks for the CoS and CEO as needed.
- Prioritize any conflicting needs and handle matters expeditiously, proactively and follow through on projects or initiatives for the Chief of Staff
- Anticipate the Chief of Staff's needs and proactively assemble the appropriate people and resources to solve problems as independently as possible. Bring forth new ideas and solutions to help scale processes and more order to busy teams.
Requirements:
- Trustworthy – You have a proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of professionalism.
- Proactive self-starter – you are a fast learner, have an uncanny ability to anticipate what is needed, and you don’t wait for someone else to ask you to do something.
- Event Management / Event Coordination experience is a big plus.
- Bachelor’s Degree
- Strong communicator – Building relationships is one of your core competencies. You care about delivering top-notch customer service, teamwork, and demonstrating that you care about supporting all stakeholders’ needs.
- 4+ years of experience as an executive/administrative assistant with experience working alongside senior management roles.
- A critical thinker and deep listener. You’re eager to ask questions, research new topics, and apply learnings skillfully.
- Operations - you love creating efficient processes, building new ways of working, and ensuring that teams are working in as effective and efficient a manner as possible.
- HR / People Operations experience is a plus.
- Flexible - The role may require availability outside of typical working hours. Occasional travel required for face to face meetings and event facilitation. (1-2X/quarter)
- Organized - having the ability to prioritize and proactively go beyond expectations in terms of organization.
- Adaptable – You are highly comfortable in a changing environment.
- Must have experience in a tech or software company
- Collaborative – No task is too big or too small. You thrive in an entrepreneurial fast-paced environment and know when to take ownership and when to ask for help.
