Position: Virtual Assistant to CEO

Location: Remote

Key Responsibilities

• Travel Arrangements: Plan and organize travel itineraries, ensuring smooth logistics and timely arrangements.
• Ad-hoc Support: Provide administrative support on various projects as required, ensuring optimal efficiency and effectiveness.
• Calendar Management: Schedule, coordinate, and manage CEO’s daily calendar, ensuring optimal time allocation for meetings, events, and personal commitments.
• Document Preparation: Assist in drafting, editing, and formatting documents, presentations, and reports related to company operations.
• Task Management: Prioritize and manage tasks assigned by the CEO, ensuring efficient time management and completion of critical tasks.
• Data Management: Assist in organizing and maintaining digital files, documents, and company records.
• Research: Conduct research as directed on industry trends, competitors, and potential partners.
• Meeting Organization: Coordinate and set up virtual and face-to-face meetings, including arranging necessary technology, sending reminders, and managing logistics.
• Communication Management: Monitor CEO's email, categorizing, flagging, and responding to urgent matters, ensuring timely communication with stakeholders.

Qualifications

• Familiarity with the AI industry or a keen interest to learn.
• Strong problem-solving skills and attention to detail.
• Self-driven, proactive, and able to work independently.
• Excellent communication skills – written and verbal.
• Proven experience as a virtual assistant or administrative support.
• Exceptional organizational and multitasking abilities.
• Strong proficiency in tools like Microsoft Office, Google Workspace, Hubspot, Slack and various project management software.
