Job Description

SELTERM USA LLC is seeking a highly organized and proactive individual to join our team as an Executive Assistant. In this role, you will provide comprehensive administrative support to our executive team, enabling them to focus on their core responsibilities and contribute to the overall success of the company. As an Executive Assistant, you will play a crucial role in maintaining effective communication, managing schedules, coordinating meetings, and handling various administrative tasks.

Responsibilities:

  1. Manage and maintain executives' calendars, including scheduling and coordinating appointments, meetings, and travel arrangements.
  2. Act as a point of contact and gatekeeper for the executives, screening and prioritizing incoming communications, emails, and phone calls.
  3. Prepare and edit correspondence, presentations, reports, and other documents as required by the executives.
  4. Organize and maintain files, records, and documentation in both electronic and physical formats.
  5. Coordinate and facilitate meetings, including preparing agendas, taking meeting minutes, and distributing action items.
  6. Conduct research, gather information, and prepare reports or presentations as needed.
  7. Assist in the preparation and coordination of internal and external company events and conferences.
  8. Handle confidential and sensitive information with discretion and professionalism.
  9. Collaborate with other members of the administrative team to ensure efficient office operations.
  10. Provide general administrative support, such as ordering office supplies, managing invoices, and processing expenses.

Requirements:

  1. Bachelor's degree in business administration, communications, or a related field is preferred.
  2. Proven experience as an executive assistant or in a similar role, preferably in a corporate environment.
  3. Strong organizational and time management skills with the ability to multitask and prioritize effectively.
  4. Excellent verbal and written communication skills, with a keen eye for detail and accuracy.
  5. Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  6. Ability to maintain a high level of professionalism and confidentiality.
  7. Exceptional interpersonal skills and the ability to work collaboratively with individuals at all levels.
  8. Strong problem-solving skills and the ability to anticipate needs and proactively address issues.
  9. Flexibility and adaptability to work in a fast-paced and dynamic environment.
  10. Strong sense of ownership and accountability for tasks and projects.
