Hiring/Budgeted Salary or Hourly Range: $101,100 to $110,000/yr.

Full Salary Range: Salary offers are determined based on final candidate qualifications and experience; the budget for the position; and the application of fair, equitable, and consistent pay practices at the University. The full salary range for this position is $101,100 to $192,300/yr. The budgeted salary or hourly range that the University reasonably expects to pay for this position is $101,100 to $110,000/yr.

Brief Summary of Job Duties

Under the general direction of the department chair, with additional guidance provided by the vice chair, the Chief Administrative Officer is responsible for full range of management functions of several disciplines in the department. Management responsibilities encompass academic administration, production unit management, academic support services, departmental computer technical support services, contract, grant, and gift/donation administration, purchasing and financial management, payroll, staff and academic personnel, facilities maintenance and renovation, space management, safety programs, and laboratory support services. Develops and implements operating policies and procedures as they relate to overall departmental goals and objectives, interprets policy for chair and faculty leadership of the Department of Theater and Dance and for departmental committee members, serves as chair's liaison to other campus academic and administrative units. Directly supervises 7 career staff.

Required Qualifications

  • 4-6 years of supervisory experience.
  • Bachelor's degree in related area or equivalent experience and/or training.
  • 4-6 years of experience with academic administration, business administration, and/or management of multiple functional units.
  • 4-6 years of experience with financial management, analysis, budgeting, and reporting for instructional and programming/operational funds, gifts, endowments, and grants.

Preferred Qualifications

  • Proven skills to quickly evaluate complex issues and identify multiple options for resolution.
  • Strong verbal and written communication skills; ability to influence / persuade all levels of staff.
  • 4-6 years of experience working in a diverse academic setting.
  • Skills to work collaboratively with other locations.
  • Skills in organization and customer service to effectively manage multiple important priorities. Proven ability to organize department work functions in an efficient and effective manner.
  • 4-6 years of experience with space management, including office assignments, facilities management projects, special programmatic projects, and planning for departmental short-and long-term space needs.
  • Broad knowledge of the organization's processes, protocols and procedures with a focus on budget, account and fund management and / or personnel management under labor contract(s) and personnel policy.
  • Demonstrated management and conflict resolution skills to effectively lead and motivate others.
  • Broad knowledge of common organization-specific and other computer application programs.
  • Broad knowledge of financial analysis and reporting techniques; human resources and risk management planning; and / or accounting and payroll.
  • 4-6 years of experience with the curriculum planning process.

Job Functions/Percentage of Time/Duties

20% General Administration: Management of a complex department providing leadership for sustaining a service orientation with operational excellence in a collaborative environment. Motivates staff and faculty to work within a team environment toward the department's mission to develop and nurture students' capacity for self-expression and critical thinking; to train actors, dancers, designers, directors, and playwrights for professional work; to provide students with a general education through the media of dance, performance, and theater; and to train graduate students as scholars and teachers. Maintains broad knowledge of accreditation and university policy, procedure, and current interpretations for effective discharge of department teaching and research mission. Assesses the effects of changes in policies and procedures on departmental operations and implements appropriate modifications as required. Advises the chair, vice chair, faculty leadership, and individual faculty and staff, providing continuity and historical perspective on established departmental regulations. Has primary supervisory responsibilities for all support functions necessary for the administration of the teaching, research, production, and specialty areas of the department. Serves as the liaison between students, faculty, staff, campus external agencies and the chair by coordinating responses to various inquiries and problems that might arise. In this capacity, independently solves problems requiring interpretation of a wide variety of federal, state and university policies.


20% Budget and Financial Affairs:
Responsible for administration of the financial affairs of the department budget, including temporary sub 0 and permanent funds, over $2 million in gifts and endowments, income accounts, grants and awards, instructional computing funds, and a variety of one-time allocations (e.g. faculty start up, minor capital improvement funds, special initiatives and program funding). Prepares and/or oversees department budget proposals as required (e.g. TA/Temporary FTE, Summer Sessions, Instructional Use of Computing, Santa Barbara Dance Theater, UCSB Student Dance Company, Launch Pad, Naked Shakes, The People's Voice, Opus 1, Amplify, New and Reimagined Work and of the performance programs, visiting guest artists, student directed shows, and primary produced productions). Projects and monitors expenditures and income within the department operating budget, production accounts, and all other accounts. Ensures that internal record keeping and accountability systems are designed and revised as necessary. Adheres to university, state, and federal policies and procedures. Monitors budgets for inconsistencies and projects patterns of spending to avoid deficits. Has the responsibility and authority to implement changes. In addition, maintains an ongoing review of departmental financial goals in light of spending patterns and emerging priorities, instituting changes as necessary. Develops short and long-range financial plans, advises chair of their feasibility and desirability and develops alternatives for consideration. In conjunction with departmental financial staff, provides a regular accounting of current fund balances for the chair, individual faculty, performance programs, and areas. Develops reporting structures that are disbursed to faculty/constituents on a regular basis. Prepares special statistical and financial reports routinely. Monitors budgets for inconsistencies and projects patterns of spending to avoid deficits; has the responsibility and authority to implement those changes. Additionally, maintains an ongoing review of departmental financial goals in light of spending patterns and developing priorities, instituting changes as necessary. Develops short and long-range financial plans, advises the chair of their feasibility and desirability, and develops alternatives for consideration.


20% Personnel Management:
Staff Personnel - Directly supervises 7 career employees (administrative, production and technical staff) and indirectly supervises 6 additional career staff and several (25-30) annually hired limited employees. Supervises recruitment and evaluation process for all departmental staff. Trains and orients new and continuing employees in departmental and University policies and procedures; communicates the department's goals and provides a work environment that fosters personal growth, creativity and enthusiasm in meeting the objectives of the department. Provides performance feedback and prepares annual performance evaluations. Prepares staff merit and staff incentive and development award nominations and proposals. Leads staff meetings and staff retreats. Evaluates staffing needs within the department, reallocating workload and/or FTE as necessary. Advises chair, director of dance, and employees on collective bargaining issues.

Academic Personnel - Oversees and coordinates all academic personnel activities including faculty advancement, recruitment/appointment of permanent/temporary faculty, permanent/temporary FTE provision control, immigration, allocation of TA FTE, coordination of Summer Session teaching appointments, leave/retirement, and additional compensation. Maintains a broad and functional understanding of all academic personnel policies and procedures. Provides consultation and advice to the chair, director of dance and faculty regarding academic personnel matters. Oversees coordination of travel, removal, relocation and reimbursement for prospective and new faculty. Ensures compliance with appropriate campus collective bargaining agreements (UC-AFT & UC-UAW), academic personnel policies, and affirmative action.


20% Theater Management:
Oversees management of department production-related activities which involves financial matters specific to the department public events (averages at least 24 productions and 120 performances yearly), purchasing, marketing and public relations, house management, ticket offices, licenses, production archives, maintenance and supervision of department theater facilities and studios, complex scheduling of department facilities (including 9 rehearsal rooms and four theaters), auditions/casting of shows, security, supervision of marketing specialist, production manager, technical director, 3 theater production supervisors, 1 senior theater technician and 25-30 student and limited staff hired annually, liaise with various university departments, departmental annual events (convocation, award ceremonies, visiting artists and special presentations), production staff scheduling, stage manager training, budgeting for department productions and facilities, and tours.


10% Student Affairs:
Oversees the management of the student affairs function of the department consisting of approximately 200-250 undergraduate majors/minors and 25-30 MA/PhD graduate students, and approximately 2500 enrolled students in theater and dance courses annually. The student area in the department is largely divided into theater and dance disciplines with specialization and emphasis in the BA undergraduate program in 6 areas (dance, theater studies, directing, design, theater/community, and playwriting) and specialization in the BFA program in two areas (dance and theater) which require auditions prior to acceptance into those majors. Further division of the theater area includes graduate and undergraduate functions. Responsible for ensuring that all campus policies regarding recruitment, advising, scheduling, curriculum changes, and degree requirements are followed. Oversees implementation of instructional program plans and faculty workload standards.


5% Physical Facilities/Space Management/Equipment, Computing & Technology:
Oversight responsibility for maintenance, renovation, and usage of space in 3 buildings, totaling 55,553 square feet of assignable space. This involves design, development, and construction of new and renovated facilities including classrooms, conference rooms, labs/studios, design suites, staff and faculty offices, public performance spaces, production offices (including production archives, stage/house management and event support facilities), ticket offices, lighting and sound booths, scenic, lighting/sound and costume shops, and ancillary rooms in support of theater and dance productions (costume inventory storage room, small props room, dye room, fitting rooms, "green rooms", etc.). Serves as primary liaison with Physical Facilities, external architects, contractors and departmental personnel in planning and developing new and renovated space. Coordinates all facets of departmental Major/Minor Capital Improvement Projects. Serves as liaison with divisional dean and campus Budget and Planning Office regarding facility renovations. Communications regularly with Physical Facilities regarding ongoing maintenance needs. Oversees development and implementation of departmental emergency operations procedures [including automatic external defibrillator (AED)], hazard communication, ADA compliance, toxic waste disposal, safety training and standards, and other health and safety issues as they apply to theater and dance, and department sustainability measures to achieve and maintain LEEDS certification. Oversees equipment inventory. Oversees departmental micro-computing management and support functions, and oversees the evaluation and selection of microcomputer and network equipment, software, and support services. Oversees maintenance and service procedures; coordinates the development of computer databases for departmental administrative functions including academic personnel, budget and cost allocation, and equipment and space management. Responsible for oversight of computing and technology of the department design computer lab and theater and dance laboratory studios, production facilities, classroom/seminar, and public performance spaces. Participates in development, maintenance, and overhaul of departmental website.


5% Alumni, Public, and Departmental Relations:
Serves as liaison with Office of Alumni Affairs and Office of Development. Coordinates fund-raising efforts with the Office of Development to support instructional and research missions of the department. Oversees department donor events, annual awards and convocation events.
