Role Description
This is a full-time on-site role for an Executive Assistant to the Chief Executive Officer (CEO) at Aevum, Inc. in Southern California. The Executive Assistant will be responsible for providing executive support, managing the CEO's diary, and creating expense reports. They will also be responsible for general administrative assistance as necessary.
The company will provide you with all equipment, iPhone, laptop, etc. US defense industry experience is a plus.
Base Salary: $75,000 to $115,000 per year
Qualifications
- Excellent communication and interpersonal skills
- Provide "gatekeeper" and "gateway" role, providing a bridge for smooth communication between the CEO and staff, demonstrating leadership to maintain credibility, trust, and support with the Executive Team.
- Research, compile, organize, graph, and accurately portray information.
- Relentlessly manage the CEO’s time. Organize and maintain the CEO’s calendar, appointments, action items and support the CEO by informing him of all commitments and responsibilities. Follow up on behalf of the CEO when appropriate.
- Strong organizational and time management skills
- Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect CEO’s style and organization policy.
- Executive Administrative Assistance and Executive Support skills
- Invest in building long-lasting relationships both externally and internally as a key representative of the CEO.
- Experience in creating expense reports and managing diaries
- Arrange travel, travel plans, itineraries, agendas, visas and accommodation and travel with the CEO and ensure that all relevant documents are available for travel related activities.
- Follow up on contacts made by the CEO to cultivate ongoing relationships.
- Work closely with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO updated. Anticipate CEO’s needs in advance of meetings, conferences, etc.
- Coordinate all Executive Team meetings and retreats and assist with staff meetings and events as needed.
Requirements
- Ability to complete a high volume of scheduling, event coordination, tasks, and projects
- Extensive experience supporting high profile executive leaders, including Board members, senior executives, staff, high profile investors, and partners.
- Ability to switch gears at a moment’s notice
- Bachelor's degree in Business Administration, Communications, or related field
- Experience in the technology industry is a plus
- Proficiency in Microsoft Office and G Suite
- Exceptional organizational skills and impeccable attention to detail
- Demonstrated ability to maintain a high level of integrity and discretion in handling confidential and proprietary information
- Ability to handle confidential information with discretion
- Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround
WORK ENVIRONMENT
- Ability to work in an in-office setting
- You cannot be intimidated by high performance CEO's.
- General availability (nights/weekends) to support the CEO
- Frequent domestic travel may be required; occasional international travel
- CEO works 24/7. You can work a 8-5 but even so this is a position for an EA who find themselves thriving in constantly challenging situations.
