Job Description
Our client is seeking a full-time, exempt Chief Operations and Administration Officer. Under the direction of the CEO, this position is responsible for overseeing all earned revenue operations within the organization. In addition to overseeing earned revenue operations the Chief Operations Officer is required to understand day-to-day operations in all areas of the organization.


Our client is open 364 days a year, with staff on the grounds between the hours of 5 am and 11 pm. This is a 40 hour per week, full time, exempt position with a schedule to change seasonally and based on the needs of the garden. During large scale events, this position will provide onsite management during evenings and weekends.


ESSENTIAL FUNCTIONS and RESPONSIBILITIES include but are not limited to:


  • Create budgets and business plans for Visitor Services, Gift Store, Special Events, and implement strategies for growth in all areas, with special attention paid to Special Events. Currently the area with the most opportunity for growth.
  • Works in collaboration with the Advancement team on the execution of the Membership Plan, developed by Advancement and Executed by the Visitor Services.
  • In partnership with the CEO and CAO, develop the contractual relationship with Los Angeles County.
  • In collaboration with the senior team and Board of Trustees, develop organization strategy.
  • Development meaningful flash reports for the departments that are overseen.
  • Oversees the establishment of annual operating plans in the following areas: Visitor Services, Gift Store, Large Scale events, Special Events and the Food and Beverage
  • Maintain an understanding of the landscape in which the organization does business. These two organizations should be used as metrics for comparison.
  • Execute all aspects of large-scale productions, including coordination of installation and hiring of seasonal team.
  • Serves as a critical member of the executive management team. Collaborated with the senior leadership team to achieve the mission and the strategic vision of the Foundation.
  • Actively participate in the management of the front of house when VC Manager or GS manager are on Vacation, assuring that during critical high attendance times is being managed and observed.
  • Supervise all daily operations of the following departments: Visitor Services, Gift Store, Special Events,.
  • Other duties as assigned.


EQUIPMENT USED And PHYSICAL DEMANDS


This position requires the use of computers, standard office equipment including photocopier, postage meter, ten key, credit card processing machine, printer, hand-held (two-way) radio, projectors, golf cart.


This position requires flexibility to work in an office and an active outdoor environment which includes public interaction, exposure to various noise levels, and other distractions throughout the organization. Must be able to walk long distances and on occasion access various areas of the organization including areas not accessible by paved roads or dirt trails. This position occasionally requires lifting of up to 15 pounds.


Qualifications And Requirements


  • Bachelor's degree in a relevant field or combination of education and experience.
  • Ability to supervise, motivate and coach staff.
  • Demonstrates excellent judgment and decision-making skills.
  • Demonstrated success in building long-term relationships with donors.
  • Ability to articulate the importance of the mission and programs of the organization in conversation as well as in written proposals and correspondence.
  • A valid California Driver's license.
  • Flexible and adaptable to change; able to rebalance priorities when needed.
  • Excellent written and verbal communication skills, with demonstrated ability to build relationships with colleagues, donors, members and others.
  • 3-5 years of fundraising experience, including both major and annual giving.
  • Knowledge of donor databases and best practices for recording the donor lifecycle.
  • Big picture thinker with the ability to work independently toward organizational goals.
  • A high degree of appropriateness and ability to maintain confidentiality.
  • Strong Word, Excel and Powerpoint proficiency for the creation of letters, proposals, reports, and presentations.


COMPENSATION: $140-160k, commensurate with experience
