Executive Assistant to Entrepreneur – Santa Barbara
Monday through Friday, IN office, 830am – 5pm, with flex as needed for some later hours occasionally. Can potentially work from home after proven success while client is traveling.
Salary: Up to 150K DOE plus wonderful Benefits
A dynamic businessman, with several business, seeks a truly “switched on” right hand EA to ensure their daily life moves seamlessly. This EA role calls for someone who relishes taking care of someone, is extremely detailed, thrives in a fast-moving role and is able to see through the weeds. You will be a team player, can anticipate needs as understands how to manage an incredibly busy yet very kind CEO.
Principal Responsibilities:
· Assist CEO with daily schedule and duties, including managing business calendar, commitments, and detailed travel arrangements (planning itineraries, developing agendas, meeting materials, and reporting expenses, etc.).
· While CEO travels always ensure to watch flights and manage cancelations with alternate fight options or hotel stays.
· Answers and screen emails, calls, receives and relays messages, handles requests for information and assistance.
Schedules and coordinates meetings, and/or conference calls. Prepares rooms for meetings; arranges for necessary materials and refreshments.
· Establishes and maintains a variety of office filing and record-keeping systems.
· Develop and maintain working relationships across the company to facilitate efficiency and problem solving.
· Manage errands as needed, getting lunch as well as gift buying and wrapping.
Qualifications:
5-8 years of experience working with senior executives.
Confident interacting and communicating with senior executives; experience preparing for executive-level meetings.
A high degree of professionalism, integrity, discretion, initiative and emotional maturity.
Extremely detail oriented with great follow-through.
Proficiency with Microsoft Excel, Power Point and Word and the ability to apply these skills to essential duties and responsibilities is required.
Experience in booking travel, transportation and creating itineraries.
Ability to work independently; exercising initiative and judgement on a regular basis.
Excellent written and verbal communication skills.
Excellent analytical, problem solving and decision-making skills.
Exhibits patience, respect, and grace under pressure.
Ability to work on-site in an office 5 days a week during normal business hours.
Education: Bachelor’s Degree is preferred.
