Job Summary

The Panzura People Ops team is looking for someone to support the day-to-day management and office experience of the Dallas Office as well as coordination and scheduling for the Recruiting Team. This position requires an individual who is organized, has strong relationship-building skills, and can consistently deliver precise and high-quality work.
This role is a full time, in-office position.
Responsibilities
- Communicate directly with candidates (phone & email) about their availability to interview with teams both virtually and in-person as needed. Provide an amazing candidate experience to all candidates that interview with our team.
- Open and scan all inbound mail to the specific department daily.

- Recruiting Administrative Tasks:
- Process all offer letters with attention to detail and making minimal to no mistakes, appropriate background checks, and kicking off onboarding workflows.

- Recruiting Coordination:
- Own day-to-day administrative and coordination tasks to facilitate hiring across the business for all locations (US, Mexico, UK, India).
- Be in the Dallas office and available to the team from 8am to 5pm Monday through Friday.
- Systems:
- Manage the proper tasks within the ATS (UKG) to transfer data for creating new requisitions, opening and closing jobs, and offers.
- Schedule all virtual and in-person interviews and panels, ensuring the proper interview panels are being used, interview invitations include all important information, and managing reschedules and calendar changes in real time as needed.
- Coordinate all training rooms, all-hands areas, and other large bookable space calendars for team and employee requests via Robin.
- Own day-to-day administrative and coordination tasks to facilitate hiring across the business for all locations (US, Mexico, UK, India).
- Maintain the facilities applications for the offices; Robin, Jamboard, AppleTV, etc
- Manage the proper tasks within the ATS (UKG) to transfer data for creating new requisitions, opening and closing jobs, and offers.
- You will be the first point of contact in the office, accepting mail and packages, ensuring the office space and kitchen are organized, clean and maintaining stock levels of supplies.

- Provide top-notch customer service for employees and office visitors by greeting them warmly, answering questions, and assisting with requests.

Requirements
- Associate Degree required; Bachelor’s Degree preferred
- Proficient with systems such as excel and an ability to pick up new systems quickly.
- Experience with using Outlook for scheduling preferred.
- Excellent verbal and written communication skills.
- History of handling confidential and/or sensitive information preferred.
- At least 2 years of relevant experience working as a Recruiting Coordinator, Office Manager or Coordinator. Ability to be in office and available regularly - Monday- Friday 8:00 am - 5:00 pm
- Ability to balance detail and accuracy with speed and prioritization; history of delivering quality work.
