Job Description

We are looking for a caring and motivatedOffice Managerto join our team! As the Office Manager, you will be the face of our clinic, responsible for managing the front desk operations, scheduling appointments for all staff (doctor, PA and clinical skin care practitioners), overseeing inventory, assisting with retail sales, and providing exceptional customer service. This is an excellent opportunity for an entry-level professional seeking to launch their career in a fast-paced and dynamic environment.


The ideal candidate needs too be a positive person who has a helpful, professional and caring disposition, who carries themselves with a mindsets of excellence. Some medical aesthetic knowledge is helpful but is not mandatory as long as you are a quick learner and have the desire and willingness to learn.


Responsibilities
  • Supervise the maintenance of the office, treatment room, and equipment.
  • Process client payments, maintain billing records, and reconcile financial transactions.
  • Continuously update knowledge of clinic services, procedures, and product offerings to effectively address client inquiries.
  • Oversee inventory management, including restocking supplies and maintaining accurate records.
  • Prepare monthly, weekly sales and goal reports.
  • Assist with retail sales, providing knowledgeable guidance on our range of skincare products and treatments.
  • Efficiently schedule and confirm appointments, optimizing the clinic's schedule and maintaining an organized calendar.
  • Maintain a clean and organized reception area, ensuring a professional and inviting atmosphere for clients.
  • Start your day with an attitude of gratitude, happiness, joy and a SMILE!Our clients are our biggest blessing. You are the face and representation of our company. Your job is to greet them with appreciation, kindness and fondness, whether in person, by phone or through emails.
  • Assist with general administrative tasks such as filing, data entry, and managing correspondence.
  • Have weekly planning session with the CEO.
Qualifications
  • Bilingual (English and Spanish) is preferred, but not mandatory.
  • Proficient in using scheduling software, point-of-sale systems, and Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to maintain confidentiality and handle sensitive client information with the utmost discretion.
  • Strong interpersonal and communication skills, ensuring professional and effective interactions with clients and colleagues.
  • Previous experience in customer service, front desk operations, or administrative roles is preferred.
  • A passion for the beauty and wellness industry, with a genuine interest in acne and anti-aging treatments.
  • Positive attitude, adaptability, and a willingness to learn and grow within the clinic.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and work efficiently in a fast-paced environment.
  • High school diploma or equivalent; additional education in healthcare administration or related fields is a plus.
