Job Description

JOB OVERVIEW

We are looking for a highly motivated individual to support a wide range of tasks in our downtown Boston office. These will encompass office logistics, administration, workplace operational request handling, meeting scheduling, calendar management, domestic and international travel, expense reporting, and basic IT support.


PRIMARY RESPONSIBILITIES AND DUTIES

  • Perform basic Windows desktop support
  • Coordinate with building and vendors for security needs, site repairs and maintenance
  • First point of contact for visiting employees, coordinating accommodations, workspaces, transportation as needed
  • Coordinate with HR and other teams in San Jose for program and resource organization such as onsite interviews and new hire onboarding
  • Manage day-to-day operations of workplace such as keeping track of service orders/deliveries, purchasing office supplies, business cards, business meals, breakroom refreshments, and handling administrative services requests
  • Manage office security/badge system
  • Serve as point of contact for deliveries and administrative service suppliers/vendors
  • Support conference room audio and video needs for remote meetings
  • Serve as first point of contact for IT needs for Boston employees
  • Provide administrative assistance on scheduling and calendaring, travel arrangements, expense report submissions, team building activities, and special meetings/workshops setup
  • Keep accurate records of office teams spending
  • Support local teams on special projects and assignments
  • Maintain safety protocols for office, including employee training
  • Work with IT San Jose to manage the office PBX phone system
  • Support lab calibration team by maintaining calibration records database and coordinating vendor services


KNOWLEDGE, SKILLS, AND ABILITIES

  • Excellent interpersonal and customer service skills
  • This position will be mostly on-site
  • Basic IT knowledge with Windows systems
  • Strong analytical and problem-solving skills
  • 1+ year experience working in an office and/or administrative environment preferred
  • Service-oriented attitude and customer focus with the ability to respond to requests effectively and efficiently
  • BA/BS degree from an accredited college or AD with comparable work experience (STEM a plus)
  • Self-starter who can work independently
  • Excellent time management skills and ability to multi-task and prioritize work
  • Proficient at using the MS Office Suite (Word, Excel, PowerPoint, Outlook)
