Job Description

These solutions improve production efficiency, reduce utility and maintenance costs, protect against contamination/corrosion, enhance compliance regulation and are non-discretionary purchases for customers providing highly predictable and recurring revenue for OGS. The Company’s engineering and equipment division offers best in class offerings for a complete package solution.


Position Summary:


We are seeking a highly organized and detail-oriented individual to join our team as an Office Manager. The Office Manager will be responsible for overseeing various administrative, financial, logistics, customer/sales processing, health and safety, and IT-related tasks. The ideal candidate will possess excellent multitasking abilities and strong communication skills to ensure the smooth and efficient operation of the office.


Key Responsibilities:


Accounting:

·Process accounts payable (AP) invoices and review AP statements, ensuring accurate matching.

·Handle miscellaneous vendor requests and manage employee expense reports.

·Track and manage payments and time tracking for contract employees.

Purchasing:

·Track and update operational orders daily.

·Coordinate the procurement of raw materials and place orders with vendors.

·Manage resale/relabeled products and provide vendor prices and quotes.

·Order laboratory and field supplies and maintain a filing system for purchase samples.

Logistics:

·Complete Hazardous Materials (Hazmat) Training and ensure compliance in shipping hazmat loads.

·Coordinate Less Than Truckload (LTL) shipments and manage paperwork for commercial driver loads.

·Oversee third-party freight management and handle DOT and FMCSA filings and updates.


Customer/Sales Processing:

·Create customer quotes and handle various customer requests.

·Track and forecast sales activities and generate reports.

·Manage product costing and customer pricing.


Health, Safety, and Environmental:

·Manage, and update health, safety, and environmental programs.

·Coordinate and track employee training and maintain training scorecards.

·Ensure company’s compliance with OSHA regulations.

·Handle spill response and reporting, conduct incident investigations, and manage customer requirements and audits.

·Oversee the drug testing program and manage drug testing for employees.


IT, Computers, and Software:

·Source and manage company computers and hardware upgrades.

·Coordinate third-party IT support services.

·Manage Microsoft software licenses and access.

·Oversee database and OneDrive access management.

·Approve and manage software licenses.


Formal Education & Certification


·Bachelor's degree in business administration or a related field.


Competencies Required:


·Proven experience in office management or a similar role.

·Strong knowledge of accounting procedures and experience with accounts payable and receivable.

·Proficiency in Microsoft Office Suite and experience with database management.

·Excellent organizational and time management skills.

·Strong attention to detail and ability to prioritize tasks.

·Exceptional communication and interpersonal skills.

·Knowledge of health, safety, and environmental regulations is a plus.

·Familiarity with IT systems and software management is desirable.


Work Status:Full Time Salaried position 45-50 hours / week minimum

Supervisory Responsibility: Accounting and other admin

Travel: 0% - Negligible amount of travel expected.

Location: Onsite position
