Role Description


Scaleworks is looking for a full-time office manager to support company operations. The role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety. This position reports to the VP of Finance and will play an integral part in supporting the parent and investment portfolio companies and providing best-in-class service to our employees and business partners.


This opportunity has become available as our existing office manager is moving into a new role with one of our companies.


Requirements


Responsibilities:


  • Greet visitors and provide general administrative support to our employees
  • Plan in-house or off-site activities like parties, celebrations, and conferences
  • Maintain the office condition and arrange necessary repairs
  • Book domestic and international travel for executives and incoming job candidates
  • Maintain a high level of internal services by organizing office processes
  • Liaise with facility management vendors
  • Help with special projects as needed
  • Assist in the onboarding process for new hires
  • Schedule meetings and appointments
  • Manage office correspondence
  • Direct company-wide IT support efforts
  • Collaborate with Finance to manage credit cards and approve spend
  • Organize the office layout, and order stationery, snacks, drinks, and equipment


Requirements:


  • Strong at planning, organizing, and prioritization
  • High school diploma; college degree preferred
  • Process-oriented team player who enjoys solving problems
  • Must be able to lift and carry a minimum of 25 lbs
  • Solid judgment and problem-solving ability
  • Excellent communication ability
  • Knowledge of clerical practices and procedures
  • Trustworthy with confidential information
  • Attentive to detail with a high level of accuracy
  • Able to gather information and identify ways to improve
  • Computer skills and knowledge of office software packages, including Google Suite
  • Adaptable and motivated self-starter
  • Administrative assistant experience is a plus
  • Knowledge of business and management principles
