Role: US Payroll Administrator
Experience: 4+ years
We're looking for US payroll administrator with experience working to manage the company's end-to-end global payroll and contractor payments. You are reliable, diligent and pay attention to details, and always work towards improving current processes.
This role may choose to be remote based out of India and will report to our CEO.
Key responsibilities
- Ensure all payrolls are always delivered on time and with 100% accuracy
- Maintain strong cross-functional team relationships
- Deal with payroll queries and resolve or escalate as required
- Provide support to any project related activities from Finance and HR
- Process the payroll/contractor data in an organised and structured manner
- Prepare payroll reports and provide monthly payroll data in journal format to finance for processing
- Provide support to Finance with reporting and audit queries
- Keep payroll policies up to date and write any new procedures as required
- Assist with future expansions of global payrolls and other projects
- Manage all payroll correspondence and act as a point of contact for all escalated payroll queries
- Comply with GDPR regulations and maintain payroll security/confidentiality
- Keep on track of all payroll deadlines and monthly payroll tasks
- Constantly seek out ways to improve systems and processes to ensure a seamless flow between HR, Payroll and Finance
- Build strong relationships with vendors to ensure excellent service delivery and compliance in all countries
Valued skills and experience
- Partner with HR colleagues on Leave of Absence administration
- Coordinate annual external audits and 401(k) committee meetings
- Excellent communication skills to converse with external parties and internal team members of all levels
- Manage employee level benefits data in the HR/Payroll system including benefits set up and reporting
- Coordinate and/or assist with additional projects and tasks as assigned
- Manage vendor relationships, monitor interfaces (eligibility data, employee changes, etc.) and payments
- Ensure compliance with regulatory requirements
- Ability to work with different software systems, and have excellent knowledge of spreadsheets and formulas
- Assist with open enrollment process by ensuring accuracy of employee communication materials and facilitate open enrollment meetings
- Manage benefits documentation and plan documents
- Present company provided benefit programs during new hire orientation
- Communicate with vendors to ensure employees’ concerns/complaints are resolved in a timely and equitable manner within guidelines of the plans
- Ability to think outside the box and solve problems when faced with new challenges
- Experience in a similar payroll role and working with outsourced payroll bureaus
- Strong process and planning mindset
- Excellent analytical skills and attention to detail
- Work with Accounting to summarize and reconcile benefit vendor invoices
- Assist employees with benefits related programs in accordance with the plan/program provisions, including medical, dental, vision, life, flexible spending accounts, health spending accounts, disability plans, 401K plan (retirement), LAP, COBRA, etc.
- Communicate plan highlights and changes, and coordinate non-discrimination and compliance testing
Minimum Qualifications
- Ability to work in a fast-paced and fluid environment; flexible with the demands of a growing company
- Ability to meet deadlines and the ability to produce results under tight deadlines
- High level of proficiency with Microsoft Office - MS Outlook, Word, PowerPoint and Excel
- Bachelor’s degree
- Detail oriented with ability to prioritize multiple projects
- Excellent interpersonal, communication and organizational skills
