The Senior Executive Admin is responsible for performing a variety of administrative duties to ensure that the Vice President, TSD RA operates effectively and efficiently. Properly administers various activities, policies, and programs, so the VP RA is free to focus on Olympus’s Global Regulatory concerns and issues. Prepares reports on a variety of business topics. Coordinates and administers quality system and regulatory/compliance issues as required. Composes and distributes routine and confidential business correspondence. Screens incoming emails and other communications to alert the VP RA of critical or urgent developments. Manages all domestic and international travel scheduling and the expense reports related to business travel. Organizes and schedules international meetings with direct reports, other company officers, which may include the CEO, Executive Officers, government competent authorities, and customers. Prepares management presentations. Provides administrative support to the following individuals: VP RA and/or TSD RA leaders as needed.
Job Duties
  • Manages assigned regional/global projects as needed.
  • Effective communication skills, both written and verbal, with the ability to report, express ideas, problems, and solutions with clarity.
  • Proactive communication with headquarters in Center Valley, PA, Tokyo, EMEA, Asia Pac and QARA department as required.
  • Provide comprehensive, high-level executive support to multiple business leaders/partners.
  • Possess a global mindset to effectively manage and understanding differing cultures, varying approaches to mutual business objectives, assist in all assigned business communications to resolve issues and improve processes.
  • Ensures seamless execution of travel and activity schedules for VP RA by managing complex itineraries including ever-changing logistics associated with multisite visits, anticipate changing needs, and update those changes in a timely fashion.
  • Handle confidential and sensitive information with discretion.
  • Interface with Japanese business partners and vendors in a professional manner.
  • Provides guidance and support to other administrative QARA staff as needed
  • Provides global administrative support for VP RA and TSD RA leadership team, including global meeting schedules and correspondence, travel arrangements, Japanese/international business relations, contacts and any other assigned tasks including, but not limited to, calendar management, and meeting coordination.
  • Support of high-level OT/EMEA Executives visiting the OCA region including, but not limited to, travel arrangements, meeting requests, detailed itineraries including changes and distribution, and other visit preparations by collaborating with each region.
Job Qualifications
Required:
  • Associate degree desired with a bachelor’s degree preferred.
  • Minimum of ten (10) years administrative experience including experience as an executive assistant or 5 years of project management experience.
  • Experience setting up international travel schedules and management of international meetings with direct reports and company officers.
  • Must be able to work outside of standard work hours, potential for travel depending on support needs for off-site meetings/conferences.
Preferred:
  • Excellent organizational skills.
  • Basic project management skills.
  • Knowledge of Office Outlook, Excel, Word, Power Point, and other computer software packages.
  • Strong written and verbal communication skills.
  • Bilingual in English and Japanese highly desirable; not required.
  • Understanding of the principles of customer service.
