Job Description
  • Part-Time Position in Horsham, PA.|Executive Assistant to CEO of a Medical Device company.
About Our Client
Pharmaceutical Device Manufacturer

  • Collect and coordinate monthly reports, combine documents, format and provide to CEO in standardized manner
  • Make travel and accommodation arrangements for executives and potentially other guests
  • Screen and direct phone calls and distribute correspondence
  • Coordinate off-site Board meetings, executive meetings, conferences, and other customer events.
  • Ability to take directions, work independently, and comfortable asking questions as needed
  • Anticipate work-related needs of executives after getting to know their work styles and their job responsibilities
  • Manage financial administration tasks including expense reports, receipts, and invoices.
  • Plan and organize company events (including internal and external meetings, team events, celebrations for company milestones, and off-site retreats), for both in office and remote employees.
  • Manage executive's calendar and set up and coordinate internal and external meetings
  • Format information for internal and external communication (e.g., memos, emails, presentations, reports)
  • Take minutes during internal meetings summarizing key points, capturing action items, and disseminating.
  • Coordinate quarterly All-Associates meetings, Leadership Team meetings and Board meetings.

The Successful Applicant
  • Outstanding organizational and time management skills in managing e-calendars, travel, etc.
  • Excellent organizational skills
  • Excellent writing skills
  • Attention to detail in all work
  • Must have high school diploma; preferably a Bachelor's Degree, or similar experience to support role.
  • Excellent MS Office knowledge including PowerPoint, Excel, Word, etc. (Ability to create a PowerPoint presentation with just instructions from the CEO.)
  • Discretion and confidentiality
  • 4+ years of experience as an Executive Assistant or similar role
  • Excellent verbal and written communications skills
