About the Position


This Administrative Assistant will provide daily support to external-facing Behavioral Health (BH) Division leadership positions, including Program Manager and Project Manager roles, and routinely collaborate with system partners such as healthcare and governmental administration, BH providers, consumer and parent-led organizations, and human service programs. The ability to demonstrate well-developed customer service and communication skills with both colleagues and community partners is essential.


The successful candidate will be a highly motivated, self-starting individual with a professional presence who works well both independently and as part of a team. This individual will possess excellent skills in writing, critical thinking, organization, attention to detail, and technology. This position requires flexibility and adaptability, including the ability to multi-task effectively and a willingness to adjust your own workflows to accommodate shifting priorities while still accomplishing your own tasks by deadlines. This role is also expected to handle confidential matters with appropriate discretion and the ability to learn and understand the scope and complexities of the BH and human service system in Lane County.


Routine job tasks for this position include: administrative support to assist with managing projects; building electronic tracking and documentation processes; maintaining meeting agendas and minutes; administration of public-facing correspondence such as surveys and newsletters; managing meeting invites and distribution lists; and hosting virtual, hybrid, and in-person meetings.

Schedule: Monday - Friday 8:00am - 5:00pm with option for remote/hybrid work schedules following a probationary period.

Qualifications


Training:


  • Equivalent to the completion of the twelfth grade supplemented by course work in business, personnel or public administration or a related field.


Experience:
  • Three years of responsible experience providing complex secretarial or administrative support to management.


An equivalent combination of experience and training that will demonstrate the required knowledge and abilities is qualifying.
