SUMMARY:


Mutual of Omaha Mortgage is a wholly owned subsidiary of Mutual of Omaha, a Fortune 300 company. Mutual of Omaha Mortgage is one of the nation’s largest providers of Reverse Mortgages. The local Philadelphia office is led by a 23-year Reverse Mortgage veteran who is a Presidents Club level producer, a best-selling author, and educator.


We are seeking an individual to serve as the Senior Administrative Assistant. This is an onsite position, but an exceptional virtual candidate would be considered after a season of onsite training.


The ideal candidate will be able to work with a clear sense of priorities, be expertly organized, enjoy detailed work and be able to multitask on multiple projects. They will have the opportunity to influence the direction of our business with creative and fresh ideas.


We offer a competitive starting salary between $53,500 and $68,000. The position includes full benefits; medical, dental, vision, 401k, PTO. We are willing to train the right individual.


What Does a Senior Administrative Assistant Do?:


Under general supervision and within established guidelines, the Senior Administrative Assistant works directly with clients and members of the office to meet set organization goals. They are responsible for providing administrative and sales support activities to our office and clients to develop, build, maintain, attract, and expand relationships. They are responsible for managing the day-to-day interaction with clients through our email, web, and phone channels


QUALIFIED CANDIDATES WILL POSSESS:


  • Capacity to Work Independently with Commitment to Accomplishing Tasks
  • Experience working in a professional office and sales culture
  • Impeccable Organizational Skills: Ability to work on multiple projects with a calm demeanor
  • Ability to follow written and verbal directions and instructions accurately
  • Polished Computer Skills: Microsoft Word, Outlook, Internet, CRM’s
  • Excellent Personal Communication & Telephone Skills: Verbal and Interpersonal


JOB DUTIES AND RESPONSIBILITIES:


Inquiry Management and Client Relations


  • Act as the point of contact. Communicate regularly with all clients, partners, and customers on the team leader’s behalf
  • Assist in creating outgoing loan documentation
  • Receive incoming communications from and regarding clients and partners
  • Compile reports for Relationship Manager(s) such as Weekly Sales Report, Pipeline Reports etc.
  • Assist Manager by performing daily support activities related to client relationships and keep Manager informed
  • Update and manage the sales pipeline to ensure all cycles are completed
  • Assist with general office duties and other duties as assigned
  • Schedule assessment and review appointments and manage the ongoing follow up process
  • Perform intake assessments, provide basic explanations, create initial proposals, and determine next steps


Administrative


  • Help manage team leaders’ ideas and innovations
  • Process collateral materials, books, and course orders
  • Coordinate presentations, seminars, workshops, etc. Secure venues, create materials, ensure packages are complete, registration etc.
  • Support Relationship Manager(s) with miscellaneous administrative tasks, as assigned
  • Maintain managers calendar of phone calls, meetings, webinars, speaking events, etc.


MINIMUM REQUIREMENTS:


  • OR an equivalent bachelor's degree
  • Two years of administrative experience required; sales office background preferred


OTHER HELPFUL SKILLS:


  • Knowledge CRM programs: ACT, ZOHO, Salesforce etc.
  • Adobe Suite / Creative Cloud / Video Editing
  • Experience with Website Updating, Maintenance and Blogs
