Job Title: Administrative Assistant

Principal Duties and Responsibilities


  • Completes projects and tasks with minimal oversight and direction.
  • Recommends, creates, implements and maintains improved administrative systems, procedures and processes including electronic and paper-based filing systems.
  • Well prepared, accurate and timely correspondence, reports & presentation materials.
  • Administrative efficiencies and improvements.
  • Creates reports and spreadsheets by obtaining, compiling and organizing data.
  • Communicates with internal and external contacts.
  • Monitors action items and requests dates for completion to ensure effective and timely completion of requests.
  • Support leadership with making travel arrangements and completing corresponding expense reports
  • Excellent internal and external customer service.
  • At the direction of leadership work with Accounting and FP&A to ensure the department budget and actuals are properly reflected for the department
  • Schedules for others and utilizes judgment when scheduling conflicts occur.
  • Thoroughly planned and executed meetings and events.
  • Provides administrative and logistical support to a team.
  • Project coordination and completion.
  • Well scheduled time through effective calendar management.


Required Qualifications For Position


  • Strong interpersonal skills and the ability to project a professional demeanor and image
  • High School diploma
  • Proficiency with Microsoft Word, Excel, PowerPoint and Lotus Notes
  • Strong communication skills and professional demeanor with the ability to take initiative
  • Two (2) years recent project coordination or related administrative support experience.
  • Knowledge of proper document design and execution, e.g., report formatting, business letters
  • Ability to learn and coach others on new software programs


Preferred Additional Qualifications For Position


  • Associate's degree from an accredited college or 5-8 years’ experience in an administrative support capacity
  • Prior experience providing logistical and administrative support to a team
