About Us:


Magis Capital Partners’ mission is to launch and grow new businesses in the Financial Advisor Technology sector that provide groundbreaking solutions to the industry’s biggest needs and maximize returns for our investors. We are currently comprised of four start-up firms in the Berwyn, PA area.


About the Opportunity:


The Executive Assistant plays a critical role in the ongoing success and growth of the company. The Executive Assistant helps support the day-to-day functions of all our exchanges as well as detailed project analysis and executive support. We’re seeking an energetic, self-starter who can support us on-site.


Responsibilities:


  • Conduct market analysis to support exchanges
  • Calendar management: Sets the calendar and has ownership of the daily itinerary as well as any meeting deliverables, communications, or follow up.
  • Administrative management: Manages the administrative functions, such as the preparation and formatting of any written communication, reporting, or presentation. Managing repository for any maintenance and storage of any files or documentation.
  • Meeting coordination: Coordinates and assists in ensuring that meeting agenda and requirements are accurate, and all details are complete according to the specific needs of the meeting. Collects minutes from meeting and manages follow up on any tasks, take-aways, or communications.
  • Administrative support to the Senior Management team, including schedule meetings, appointments, presentation, and document support.
  • Manages additional projects as needed.
  • Bookkeeping, expense tracking (including international invoices) and budget management
  • Prep conference rooms for meetings between senior management and clients (i.e., ensure technology is working properly, offices/ rooms are reserved, food and/or beverages are delivered if applicable)
  • Manage board meeting cycle for all companies


Qualifications:


  • Excellent writing, editing, grammatical, organizational, and research skills.
  • Ability to conduct research and present data in a concise and well-written manner.
  • Proven ability to meet multiple and/or unexpected deadlines in a demanding environment.
  • Sound judgment regarding confidential and sensitive matters.
  • 3-5 years’ experience providing support for upper-level management.
  • Ability to manage organizational processes
  • Proficient in Microsoft Office (Word, PowerPoint, Excel, Outlook, etc.)
  • Ability to learn new software.
  • Excellent time-management and problem-solving skills.
  • Possesses excellent organizational and planning skills.
  • Comfortable with project management processes, tools, and acumen.
  • Ability to work with a broad range of people, including Board members, CEO, Executive team, and teams across the organization.
  • Excellent attention to detail.


Physical Effort & Travel:


  • Job may require lifting up to 15lbs.
  • Job will require access to a vehicle.
  • Job may require sitting at and working on a computer for extended periods of time.


Expected Hours of Work:


The work schedule for this position will be primarily Monday- Friday during typical business hours.
