What Your Job Will Be Like
We are seeking an OFFICE MANAGEMENT ASSISTANT
On any given day, you may be called on to:
- Exercise discretion and judgement when handling sensitive information
- Assist in the maintenance and mitigation of building related safety and security issues as they arise
- Due to the nature of the work, the selected applicant must be able to work onsite 1-2 days a week.
- Answer managers’ phone and triage and route calls
- Order office supplies
- Assist with the management of office functions
- Collect and distribute mail
- Assist in preparing presentations
- Triage and maintain managers’ email (e.g. prioritization, approvals, action items, etc.) as needed
- Maintain managers’ calendars and arrange meetings which may be complex in nature
- Coordinate signature items
- Serve as the organization's property coordinator and training coordinator, including maintaining department training records
- Set-up and run weekly tier and monthly department meetings
- Provide onboarding assistance to new employees
- Coordinate with other administrative support staff to arrange meetings
- Track the status of the organization's environmental health and safety self-assessments and findings
- Arrange travel and assist managers with expense reports
- Team with the Center Senior Management Assistant and other OMAs to provide seamless coverage in a fast-paced environment; serve as primary Center office back-up as needed
- Ensure timely submission of timecards and conduct weekly reviews for accuracy
- Record meeting minutes; track, monitor, and follow-up on action items
- Provide professional administrative support for an excluded organization
- Maintain office filing system and databases

Qualifications We Require
Requires high school diploma plus four or more years of directly related experience. To be qualified, the applicant must have passed, based on Sandia specified grades, the Sandia Secretarial tests.
- Demonstrated ability to manage and prioritize multiple tasks and work independently.
- Ability to team effectively with managers, staff, other office management assistants, senior management assistants, and executive assistants.
- Proficiency with common office software for word processing, spreadsheets, presentations, and collaboration.
- Good interpersonal and communications skills.
- Ability to ensure that the office functions efficiently.
Required Testing:
Applicants must meet the minimum pre-requisites to be scheduled for testing. The applicant will be contacted and scheduled for the next available test date. All applicants must be prepared to test upon application submittal. Once successful testing has been completed, the hiring manager will be notified.
Full consideration will not be given to applicants that have not met all of the pre-requisites including testing. Interviews will not be scheduled until the applicant has successfully test-qualified and has been selected by the manager as a top applicant. Passing the test does not guarantee an interview or a selection.
If the applicant is not able to schedule testing within the time constraints of the position posting, selection timelines, and the available test dates, they will not be considered for the position. It is imperative that applicants are immediately available for testing in order to provide the best opportunities.
Applicants must be proficient in Microsoft Word, Excel, Outlook and PowerPoint. Outlook is used daily.
Qualifications We Desire
- Proficiency in Sandia’s corporate web-based applications like Enterprise Person, Concur, Expense Report Plus, Techweb, LPS, and Oracle (FA Property Coordinator and Primary Property Coordinator).
- Experience with maintaining manager's e-mail.
- Familiarity with the rules and policies of purchasing via JIT, P-Card, or the Corporate Travel Card.
- Knowledge of Adobe Professional.
- Familiarity with SharePoint 2010, including but not limited to list creation and maintenance, document libraries.
- 2 years of college in a Human Resources field of study or in a relevant Business Degree program.
About Our Team
Organization 10520 supports the NTESS Investment Committee through the Retirement Investment Management group which is responsible for the pension fund investments and savings plan investment options. The group is also responsible for the financial accounting, external reporting, oversight, and monitoring of retirement plans and corporate insurance. Financial Policy, Performance and Assurance group is responsible for maintaining the financial policy system, coordinating financial system assurance and enabling strategic decisions and initiatives.
Posting Duration

Security Clearance
Sandia is required by DOE to conduct a pre-employment drug test and background review that includes checks of personal references, credit, law enforcement records, and employment/education verifications. Applicants for employment need to be able to obtain and maintain a DOE L-level security clearance, which requires U.S. citizenship. If you hold more than one citizenship (i.e., of the U.S. and another country), your ability to obtain a security clearance may be impacted.

NNSA Requirements for MedPEDs
If you have a Medical Portable Electronic Device (MedPED), such as a pacemaker, defibrillator, drug-releasing pump, hearing aids, or diagnostic equipment and other equipment for measuring, monitoring, and recording body functions such as heartbeat and brain waves, if employed by Sandia National Laboratories you may be required to comply with NNSA security requirements for MedPEDs.
