IM seeks to ensure that students, particularly historically underserved students, and their teachers have access to aligned, grade-level, mathematics curriculum resources, and that teachers experience professional learning that leads to enduring mathematical learning for their students.

The team: The Enterprise Management department supports company-wide activities including financial planning and analysis, accounting, payroll, benefits management, office management, event planning, and legal.

Vision for the position:

The Finance Coordinator is responsible for overseeing, coordinating and processing payments and financial records and will provide highly skilled technical and professional expertise as support to employees and contractors using SAP Concur and Liquid for payments and reimbursements. The position will also support the Accounting Manager with payroll and 403(b) processing. The ideal candidate has experience utilizing tools such as Microsoft Excel and Zenefits to provide detailed and accurate reports.

Responsibilities

• Process and record Vendor payments for invoices submitted through IM payments email by utilizing Asana for an auditable record.
• Assign SAP Concur accounts and set up QuickBooks vendor account information for all new employees as needed.
• Support the Accounting Manager with responses to employee and contractor inquiries regarding Concur, Liquid, or Form 1099s.
• Review and approve submitted SAP Concur reports for payments as the Finance Approver for processing.
• Review Quickbook transactions with direct feeds from Concur and Liquid ensuring correct coding to month, expense type, class, and department.
• Record Tax documents received via payments email or USPS P.O. Box in Asana by creating an Asana task; submit a Zenefits case and follow up as needed.
• Monitor and close Concur Payment Batches as needed on a daily basis.
• Monitor IM’s Payments email address - Informing Finance or Employees of any emails that need their attention. Follow up as needed.
• Support the Finance Team with adherence to existing procedures, as well as recommendations for any new procedures
• Enter and update Vendor profile information, create Vendor transaction records in QuickBooks, and process Vendor check/ ACH payments as needed.
• Prepare payroll bi-monthly and submit related 403b contributions to the record holder
• Contact vendors to gather required documentation, including W-9s and ACH forms
• Work collaboratively with the Facilitator Team to ensure the accuracy of facilitator payments.
• Process Check/ACH payment through online banking or billpay portal.
• Lead and review the contractor support function, and invoice submissions in Liquid, ensuring invoice items match the Contractor’s work order parameters and approve for payment.
• Make changes in Zenefits Tax settings if needed, and ensure Finance is aware of any issues or documents needing attention. Follow up as needed.
• Stay current on state payroll legislation to ensure compliance with federal and state laws, ensuring FInance is aware of any issues needing to be addressed
• Support the Accounting Manager with gathering documentation for the annual independent audit process
• Update Contractor information and connection to accounting software regularly
• Review scanned mail and put relevant items in Google Drive or Asana, or digitally send them to the intended IM recipient.
• Reconcile Facilitator travel costs with SAP Concur expense report submissions, and reach out to resolve discrepancies as needed.

Required Qualifications

• Bachelor’s Degree in Accounting or Business Administration and/or equivalent to 8 years of accounting experience.
• Strong attention to detail
• Demonstrated commitment to seeking and listening to feedback that encourages growth, surfaces blindspots, and recognizes and disrupts patterns of inequity
• Extensive experience with Excel and Quickbooks
• Strong computer skills with cloud-based systems, especially Google Workspace applications, Zoom, and Slack
• Must reside in and be legally authorized to work in the USA
• Excellent verbal and written communication skills
• Experience working in a team-oriented, relationship-building, collaborative environment
• Excellent interpersonal and communication skills

Preferred Qualifications

• 1-3 years of experience with nonprofit accounting, including fund and grant accounting, compliance, and reporting
• Experience supporting audits and financial statement preparation
• Experience with SAP Concur

Compensation and Benefits

In alignment with our commitment to equity in practice and policy, Illustrative Mathematics is committed to equity and transparency for our team and offers competitive salaries commensurate with experience and education. This position is exempt. The annual salary range for this position is $70,000 - $80,000.

IM also offers employees a comprehensive group health benefits package, including medical, dental, and vision, and an employer-sponsored 403(b) plan with an employer matching up to 4% of regular earnings.
