Position Summary


This is an ideal opportunity for a highly skilled and motivated Workplace Services/Office/Event Manager who enjoys providing excellent customer service in a fast-paced business. We are looking for an engaging individual to act as the face of the company as they greet guests, respond to both internal and external inquiries, and provide the highest level of customer service to both external guests and internal team members. The role encompasses four primary pillars; office management, facilities management, vendor management, and global events.


As a candidate, you should have a professional demeanor and excellent interpersonal skills that will ensure your success in this highly visible role. You’d exhibit diplomatic savvy and EQ skillset to interact with entrepreneurs, high-profile guests, investors, and vendors alike.


You will need to multi-task, paying close attention to detail while partnering with our Cincinnati and Vancouver offices.


The US base salary range for this full-time position is $68,000 - $102,000 + equity + benefits. Our salary ranges are determined by role, level, and location.


This is a remote position.


What You'll Do


  • Manage to schedule of larger group meetings, customer meetings, staff meetings, off-sites, dinners, events, and speaking engagements. Ensure that all logistics are handled including facilities, A/V, security, and catering requirements with a focus on efficient time management
  • Partner with IT, facilities, and other administrative support professionals to maintain the cleanliness of the office and conference rooms, ensure that the office is always stocked full of supplies and sundries, coordinate weekly office lunches
  • Greet and escort guests, sign for packages, coordinate deliveries and package pickups, answer and direct incoming calls and email inquiries, sort, and process mail
  • Coordinate, set up, and clean up after meetings (i.e. book conference rooms, dial-in to video conferences, make reservations for breakfast/lunch/dinner meetings); coordinate meetings using Zoom and Microsoft Teams and hosting in-person meetings in our office space
  • Perform special projects and research assignments as time allows and required. Take on additional responsibilities as assigned
  • Organize and host office celebrations related to happy hours, birthdays, or any other special event by ensuring food and drinks are ordered, delivered, and setup in a timely manner
  • Provide innovative and creative methods for continued improvements to administrative processes as the company scales
  • Miscellaneous HR ad-hoc
  • Partner with Teams in coordinating onsite and offsite, internal and external meetings, events, training, meetups, and other activities
  • Managing swag full-cycle swag inventory and distribution for the company


What We're Looking For


  • A seasoned career office manager with 1 year of demonstrated success in performing office support with a high degree of business savvy, sound judgment in knowing when to react with appropriate urgency to situations that may require a quick turnaround, solid attention to detail, strong creative and conceptual skills, ability to connect multiple initiatives effectively prioritize while keeping the big picture in mind in fast paced, results driven technology companies.
  • Proven ability to consult with stakeholders of all levels in order to develop and execute solutions.
  • Exceptionally high EQ, professional presence, maturity, dependability, demonstrated interpersonal skills, deeply empathetic, and strong understanding of the dynamics within complex globally distributed organizations. Successful track record of establishing credibility and trust with a diverse group of internal stakeholders. Able to take effective action without having to know the total picture, efficiently and proactively resolve difficult and complex situations
  • Proficient, savvy and enthusiastic user of technology, ideally both Macintosh and PC, smartphones/mobile devices as well as MS Office applications, Google, and other cloud-based applications and can learn any new desktop or mobile app that is put in front of you quickly.
  • Excellent written and oral communication skills are an absolute must as well as strong interpersonal skills and the ability to handle multi-faceted responsibilities simultaneously.
  • Must be results-oriented, have a high degree of motivation, and have organizational time-management skills.
  • High degree of integrity, natural desire to empower, strong work ethic, organized, punctual, deep sense of accountability and desire and ability to continuously improve.
