Summary:

The Learning Program Operations Specialist will support People Dev external vendor partners as it relates to billing & invoicing and reports. The ideal candidate will be a detail-oriented, get-things-done professional who can think strategically, adapt quickly, and rapidly earn credibility and trust with all levels of the organization. They will exhibit great communication & planning skills, teamwork, motivation, and an upbeat attitude. This person will be highly organized, productive, poised, and able to thrive in high-pressure, time-sensitive scenarios, and able to adapt to rapidly changing requirements.


Responsibilities:

o Execute the day-to-day billing operations of our People Dev learning vendor management programs.

o Compile, validate, and organize data using sheets and create standard reports.

o Create standard operating procedures and document processes.

o Identify opportunities to optimize and make programs consistent globally while balancing the business need for flexibility.

o Execute standardized program reporting to deliver insights to program managers.

o Manage operational impacts of new programs or changes to existing programs.

o Manage and escalate risks and issues and collaborate with cross-functional partners on resolution.

o Work closely with remote staff effectively and drive consistency of global processes

o Exercise independent judgment and discretion while utilizing company policies and practices to determine appropriate action

o Support with Program SOW’s, POs and invoices. Work closely with cross-functional partners to resolve discrepancies.

o Track and validate vendor purchase orders and invoices against budget, work with internal teams to resolve discrepancies and answer vendor POC invoice questions.

o Update and maintain the vendor data master database.

Requirements:

o 4+ years of experience in L&D or HR Operations

o Experience managing an outsourced vendor relationship

o Experience in analysis, data management and reporting

o Experience in customer service, communication, and cross group collaboration

o Experience with executing contracts - purchase order - invoice process and tracking invoices against the PO and budget

o Comfortable working through ambiguity and uncertainty in a fast paced, ever-changing work environment

o Experience in project management, process execution, process improvement, and problem solving

o Experience working in a team environment as well as independently, with minimal supervision

o Experience with time management, attention to detail, and multitasking

o Experience working across various levels of the organization, while building trust and fostering collaboration

o Experience with Google’s suite of products (docs, sheets, slides), and MS Office (Word, Excel, Outlook, PowerPoint, Access) & Tableau and internal tools

Preferred Qualifications:

o Data analysis acumen

o Experience in L&D Program Operations

o Procurement Experience

o Bachelor’s Degree

o Experience with Tableau
