Job Description

This position is responsible for providing advanced, confidential, diversified, and sensitive administrative and program operational duties requiring broad and comprehensive experience, knowledge, skills and abilities to senior executives. Considerable judgment and discretion is used to determine the best way to study and prepare recommendations on complex, confidential and sensitive administrative management issues.


Responsibilities include


  • Reviews correspondence and requests for information directed to the senior executives, distributes correspondence appropriately and tracks and follows-up on correspondence when necessary, and prepares complex correspondence as necessary.
  • Coordinates operational programs related to assigned executive’s business unit.
  • Serves as the primary professional staff support to senior executives by researching, prioritizing and following-up on multiple issues and concerns addressed to the assigned senior executive.
  • Manages calendars by scheduling and confirming appointments, conferences, meetings, and travel arrangements as necessary, using judgment and discretion to establish appointment priorities or rescheduling appointments/invitations.
  • Serves as a liaison between the senior executive and various internal and external customers by responding to calls and visits and determining the urgency of the situation and suggests appropriate referrals, handles the issue, or inform the appropriate senior executive as necessary.
  • Establishing and maintain efficient office organizational systems to include filing systems, records management, travel documentation, expense reports processing, purchasing and maintain office supplies and other organizational data as necessary.


Education


Bachelor’s Degree in Business Administration, Management, or closely related field


Experience


Three years of experience providing administrative support/office management to executive level staff.


Knowledge


  • Knowledge of basic office management practices and procedures.
  • Detailed understanding of organizational policies and procedures.
  • Knowledge of a variety of computer software applications in word processing, spreadsheets, database, and presentation software. (Word, Excel, PowerPoint, Visio).


Skills


  • High level of interpersonal skills to handle a variety of issues and situations.
  • Attention to detail in composing/proofing all correspondence, establishing priorities and meeting deadlines.


Abilities


  • Ability to communicate clearly, both in writing and verbally, to others in one-on-one or small group settings.
  • Ability to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands
  • Ability to plan and organize job tasks or resources in an efficient manner.
  • Ability to be responsive and available to management in order to address issues and concerns as they arise.
  • Ability to edit documents for spelling, grammar, and tone, and presents data effectively and is able to read and interpret written and analytical information. Monitors own work to ensure quality.
  • Ability to interact with individuals at all levels of the organization and customers in a helpful, courteous, and friendly manner while demonstrating sensitivity to and respect for diverse populations.


For applicants who will perform this position in New York City or Westchester County, the proposed annual salary is $33.52 p/hr. to $35.90p/hr.. For applicants who will perform this position outside of New York City or Westchester County, salary will reflect local market rates and be commensurate with the applicant’s skills, job-related knowledge, and experience.
