Job Description

As an Event Producer (EP), you will play a critical role within our Opportunity Team, responsible for the logistical management and operational execution of client events. You'll be the primary contact for clients during both the pre-planning and operation phases, and serve as a liaison with our valued supplier-partners. Embodying the spirit of our brand, you'll be an on-site Ambassador for our company.
The Central Event Producer is not tied to a particular destination but will be deployed across our system to support regional teams in planning and executing their events as needed. You may collaborate with local teams or take full ownership of program development and operation, making this a dynamic and exciting role. Expect significant travel across the system, with the opportunity to work remotely in between trips.
Primary Responsibilities
Your day-to-day responsibilities will vary based on the level of support and project ownership required.
Program Development And Planning
Collaborate with Experience Designers to handle operational and logistical aspects of program development.
Thoroughly review program details with cross-functional partners in Sales and Experience Design to ensure a seamless handover to Event Production.
Act as the primary client contact throughout the planning and operation of events.
Manage program changes with suppliers and internal partners during planning and on-site operation.
Offer creative program enhancement options to delight our clients.
Supplier And Staff Management
Skillfully negotiate supplier contract terms and pricing, including service expectations, guarantees, cancellation policies, and billing.
Assign field staff to projects based on availability and specific skill sets required.
Prepare, distribute, and review relevant program information while providing guidance to field staff.
Process and manage field staff compensation, including timesheets, expense reports, and pay rates.
Program Execution
Collaborate closely with hotel and venue partners to ensure seamless coordination during program operation.
Conduct pre-con meetings with clients and hotels to review all program details as confirmed.
Keep cross-functional Sales partners fully informed of all program changes, taking prompt corrective action and providing alternatives when necessary.
Manage all components of on-site program operation.
Financials
Drive program profitability, ensuring that Gross Profitability targets are met.
Manage the submission and receipt of client program deposits as per contract terms throughout the program lifecycle.
Complete post-operation Program Closeout process in a timely manner, following our established protocol.
Qualifications
Bachelor's degree or equivalent relevant experience.
5 years of experience in overseeing the execution of corporate meetings, client events, and other complex programs. DMC, corporate incentive travel, hospitality, or related experience is highly preferred.
Ability to manage operations functions and effectively supervise and direct field staff.
Excellent interpersonal and communication skills, with the ability to engage with diverse clients, supplier partners, coworkers, and employees.
Proficiency in reading, analyzing, and interpreting client proposal requirements, contracts, financial reports, and other legal documents.
Strong presentation skills to effectively convey information and respond to questions from clients, supplier partners, and hoteliers.
Ability to multitask and work on multiple programs with different deadlines.
Must be a team player, capable of working well with all levels of management and staff, hoteliers and venue staff, clients, and supplier partners.
Working knowledge of local attractions, hotels, parks, venues, and supplier partners, along with the ability to locate and vet new venues and suppliers.
Flexibility to work varied hours, including weekends, evenings, and holidays.
Expect significant travel across the system, approximately 75-80%.
