Position: Project Coordinator (Hybrid Remote)
Location: Naperville, Illinois
Position Summary / Purpose
As a Project Coordinator, you will play a crucial role in supporting multiple Project Managers and their teams to ensure high levels of customer satisfaction. Your responsibilities include establishing collaborative relationships among project teams and stakeholders, resolving customer issues, and promoting integrated systems.
You will also assist in coordinating, scheduling, and facilitating the timely and profitable delivery of all services required to restore customers' properties to their pre-loss condition. Your support to the construction team will be vital in ensuring that projects adhere to company standards in terms of Cycle Time, Documentation, Customer Service, and Financials.
Principle Duties And Responsibilities
Provide exceptional customer service throughout the project lifecycle, from the initial Quality Assurance call to project completion.
Facilitate and coordinate the work of multiple Project Managers and their teams.
Identify and address any barriers to the successful completion of projects.
Review internal and external project communication.
Prepare and update project reports, particularly related to Accounts Receivable.
Manage project documentation, including contracts, invoices, submittals, estimates, change orders, and supplements.
Assist the Operations Analyst in obtaining necessary documentation from customers and clients.
Handle customer billing and collections in accordance with company cycle times.
Perform collection procedures for accounts receivable files as per the AR Process.
Respond to and document customer and client account inquiries professionally and promptly.
Hold weekly meetings with the Operations Manager to discuss customer service and accounts receivable.
Participate in monthly meetings with the Operations Manager and all Project Coordinators to discuss SOPs, efficiencies, best practices, and other relevant topics.
Ensure adherence to company standards and established Office SOPs in all work.
Additional Duties And Responsibilities
Maintain office organization and cleanliness.
Answer phones and handle incoming calls.
Attend company meetings.
Perform general office duties, including drafting correspondence, filing, and creating reports.
Decision Rights And Authority
Prepare and send invoice documents based on documentation.
Working Relationships And Scope
Foster collaborative relationships among internal teams and stakeholders.
Collaborate with Project Managers and customers to ensure the timely collection of project information.
Review customer satisfaction with Marketing to facilitate follow-up of COIs.

Education And Experience
Qualifications - Knowledge, Skills, and Abilities:
Three (3) to five (5) years of experience in the construction or restoration industry is a plus.
Understanding of financial reports and budgeting.
Proficient technical skills, experience, and certification in relevant service areas.
Adequate mathematical skills.
Strong negotiation skills, aiming to create advocates rather than enemies when negotiating.
Demonstrated intermediate to advanced proficiency in computer usage, especially MS Word and Excel. Experience with Xactimate software is a plus.
Effective listening skills, including the ability to receive feedback and provide timely responses.

This position primarily operates in an office environment, with occasional exposure to the shop. The noise level in the work environment is typically low.
