The Team You’ll Work With:
The Executive Director for Child Care and Early Childhood Education ensures that City government solves problems through holistic, accountable, and transparent means. With a focus on many of the administration’s top priorities, the Office of Child Care established a framework for interagency collaboration. This office ensures a coordinated approach to child care and early childhood education policy by building responsive systems that are centered on parent choice, supporting providers, and delivering high-quality options for families.
The Executive Director works in partnership with the following Strategic Partnership agencies and offices: the Department of Youth and Community Development, the Office of Food Policy, the Office of Non-Profit Services, the Office of Childcare and Early Childhood Education, the Center for Innovation through Data Intelligence, the Office of Youth Employment, the Children’s Cabinet, and the Commission on Gender Equity.Additional City partners include The New York City Public Schools, Agency for Children and Families, Human Resources Administration, the Department of Social Services, and several philanthropic, public, and private sector entities.
The Problems You’ll Solve
The Special Assistant will be the primary point of contact for the Executive Director’s day-to-day schedule and will be responsible for coordinating and confirming all logistical details and necessary preparation. Using careful discretion, this individual will also help to vet and properly route incoming requests from Agency staff, constituents, City partners, and outside stakeholders. Other administrative duties may include maintenance of contact lists, travel arrangements, preparing correspondence, and basic office management.
· Execute and oversee daily administrative activities of the Office of the Executive Director for the Office of Child Care and Early Childhood Education.
· Provide daily briefings to the Executive Director on high priority and time-sensitive issues and deadlines.
· Manage the Executive Director ‘s workflow and priorities by handling calendar and scheduling requests.
· Oversee day to day Office operations, such as ensuring the Executive Director has read and signed key correspondence, booking travel, managing event logistics, reimbursements, and team record-keeping.
· Coordinate the Executive Director’s speaking engagements and public appearances, including preparation of briefing materials, talking points and presentations.
· Provide leverage in moving critical projects forward by assisting with information gathering, communicating with stakeholders, developing, and monitoring project plans, and keeping track of responsibilities.
· Managing electronic correspondence directed to the Executive Director and the office, as well as in preparing draft replies to correspondence and organizing and prioritizing all electronic and regular mail correspondence.
· Prepare for and conduct relevant follow-up on internal and external meetings. When needed, participate directly in these meetings and handle follow-up with relevant participants.
· Generate policy briefings and project-related documents, such as meeting agendas, work plans, and progress reports.
· Serve as constituent liaison when necessary, working with senior Administration staff to respond to questions.
· Perform other related duties and tasks as needed.

· You must maintain confidentiality and use outstanding judgment daily.
· You can interface effectively with professionals at all levels of the organization.
· You have experience working in a fast-paced environment.
· You have working knowledge of Microsoft Office.
· You are a great communicator (both written and verbally)
· You’re self-aware, resilient, and thrive in opportunities when learning new things.
· BS or BA degree in a relevant field plus 2 years of experience.
Salary
The City of New York Office of the Mayor’s compensation package includes a market competitive salary, equity for all full-time roles and exceptional benefits. Our cash compensation range for this role is $70,000 Min Salary – $85,000 Max Salary.
