Job Description
Overview:
The Executive Assistant to the President is responsible for providing comprehensive administrative support to the President and work closely with the President’s Chief of Staff. The qualified candidate will have related experience that requires exceptional judgment and discretion, ability to anticipate needs, think critically, and offer a high level of professionalism and confidentiality with exceptional attention to detail, and the ability to prioritize in a fast-paced, high-profile work environment.
The major responsibilities of this position will include (but are not limited to)::
  • Managing President’s calendar. Prioritizing, reviewing and responding to all inquiries, requests and invitations
  • Ensuring smooth communication between the President and CFR staff
  • Ensuring the President is on schedule. Managing daily schedule and following up as needed to ensure President is on time and briefed in advance on all conference calls, meetings and events
  • Maintaining the President’s departmental electronic and paper files
  • Helping to organize and facilitate small events hosted by the President
  • Drafting, producing, and proofreading business correspondence for the President
  • Tracking and processing paperwork for expenses and reimbursements
  • Providing administrative support to the President, including extensive scheduling of appointments, speaking engagements, and media appearances
  • Actively managing and coordinating all aspects of the President’s global travel. Working closely with CFR travel agents, reviewing travel options and costs with President. Securing travel visas when needed. Ensuring hotels are prepared for arrival on time; drivers/cars are in place as needed and calendar is updated in real time
  • Working closely with the President to keep him well informed of upcoming commitments and responsibilities, following up as needed. Anticipating the President’s needs in advance of meetings, conferences, calls and emails
Qualifications:
  • Proven experience working with high-level contacts; exceptional judgment and discretion
  • Outstanding organizational skills, attention to detail, and time management skills, including the ability to prioritize multiple tasks
  • Availability to work flexible hours
  • Demonstrated interest in international relations and a familiarity with current foreign policy issues
  • Proven ability to work independently as well as on a team; ability to respond to shifting priorities
  • Strong MS Word, Excel, and Outlook skills including on remote devices; experience working with databases
  • 5+ years of related administrative experience working for a senior executive, in fast-paced, deadline-driven environment
  • Excellent communication skills, business writing, and proofreading skills
Pay Range
$90,000 to $120,000 per year
Pay commensurate with experience and education
