The Opportunity


CALS seeks a highly organized and professional individual to join our team as an administrative assistant to the Senior Associate Dean. In this role, you will provide high-level support to the two Senior Associate Deans in a team-oriented and service-focused environment. Your primary responsibility will be to assist one Senior Associate Dean (SrAD) while collaborating with another administrative assistant supporting the other SrAD to provide back-up for each other and to communicate and collaborate on processes and practices used within the office. This position requires handling confidential matters and interacting with individuals at all levels within the organization.


Responsibilities


  • Collaborate with team members to develop and communicate policies and procedures to various departments, working closely with CALS HR and CALS OFA as needed.
  • Act as a liaison to other university offices and provide support to special committees as assigned.
  • Utilize your knowledge of university policies and procedures, along with your initiative and judgment, to handle correspondence on behalf of the SrAD. This may include drafting replies and independently responding to inquiries when necessary.
  • Coordinate calendars, meetings, workshops, travel arrangements, and social events as required.
  • Provide work coverage for the other administrative assistant, as necessary.
  • Foster a collegial and collaborative environment with the other Senior Associate Dean’s administrative assistant to ensure appropriate staffing levels and office coverage.
  • Ensure the use of standardized templates for position descriptions, correspondence, and other forms to maintain consistency across the Senior Associate Deans Office.
  • Demonstrate diplomatic interaction skills in dealing with diverse individuals under potentially stressful conditions. Exhibit the ability to independently resolve a variety of situations. Multi-tasking and prioritization skills are essential.
  • Conduct research, compile data, and create reports on the status of faculty related to searches, hires, retirements, sabbaticals, departures, and retention.
  • Collaborate with Dean's Assistants and other Senior Associate Deans' Administrative Assistants to organize meetings, set agendas, invite guest speakers, and prepare presentation materials for various internal and external meetings.
  • Help maintain SrAD webpages.
  • Monitor electronic correspondence and assist in prioritizing responses and actions.
  • Attend meetings and prepare minutes and status reports as required for Chairs' meetings with the Dean.

  • Proven skills in project management and coordination.
  • Ability to provide coverage in the face of colleagues’ vacations, absences, work trips, leaves, and turnover.
  • Prior experience with Microsoft Word, Excel, and Outlook.
  • Possession of an entrepreneurial spirit, such that new ideas and projects are generated as the initial activities become more efficient. Curiosity is welcomed and passion projects can be generated once the initial tasks are efficiently mastered.
  • Agility in a forward-facing role that will include greeting visitors to the suite, answering the phone, and email responsiveness.
  • Demonstration of deep consideration for team members and colleagues, including an acute awareness of how their actions and requests impact colleagues and team members. Must be able to adapt the workload according to the priorities of the Senior Associate Deans, so as not to offload responsibilities on team members without strategic conversations with colleagues and supervisors.
  • Ability to continue exceptional coverage of the initial objectives of the role while adding new initiatives and projects.
  • Excellent oral, written, and interpersonal communication skills, as well as maintaining a high level of confidentiality.
  • Ability to work quickly and effectively under pressure, use judgment in accomplishing tasks that are urgent; balance conflicting priorities, and make decisions from a range of choices.
  • Associate’s degree with 4 years or more experience in a related field, or an equivalent combination of experience and education.
  • Ability to attend events (3-4x per year) that may take place after closing time and on weekends. The person in this role is expected to attend and provide support for such events. In such cases, work-hour shifting and/or overtime is provided.

  • Bachelor’s Degree
  • Paralegal background or experience in a similar role with a high level of attention to detail
  • Prior knowledge of Cornell policies and procedures
  • 5+ years of experience in an upper-level academic setting
