The mission of Jazz at Lincoln Center (JALC) is to entertain, enrich and expand a global community for jazz through performance, education and advocacy. From college students to young stars, from working professionals to celebrated masters, we present quality jazz for an ever-increasing audience in an unprecedented range of activities and a variety of venues. We are dedicated to lifting audiences and bringing people together with substance and with integrity. JALC has created a dynamic platform where our key constituents – jazz artists (beginner to grizzled veteran), fans (casual listeners to advanced scholars), educators (local band leaders to leading artist-educators) and advocates (local community advocates to important national promoters) – can meet, engage, learn and work toward common objectives.


About Jazz at Lincoln Center

Jazz at Lincoln Center is a 501(c)3 not-for-profit organization dedicated to inspiring and growing audiences for jazz. From joyous performances by the JALC Orchestra to innovative educational programs, we showcase jazz in the broadest of contexts through concerts, ballets, public dances, on film, parade, and riverboat; in classrooms, parks, nightclubs, and churches; for broadcast, recording, printed page, and Internet. We commission new works and collaborate with artists from other artistic disciplines. We present solo artists, small groups, and big bands, as well as host one-night seminars, extended classes and provide curricula resources throughout New York City, the United States and all over the world.

Position Description

The Executive Assistant to the VP of Development provides administrative support to the VP and other members of the Development team. The ideal candidate will be a highly organized and efficient individual with excellent communication and interpersonal skills. This position interfaces with many of the organization's stakeholders such as Board members, Board assistants, government, private funders, and the Leadership Team.

To succeed in this position, the successful candidate will be exceptionally organized, detail oriented, and will have the judgement to prioritize and make administrative decisions quickly to keep things moving in a dynamic environment.


Key Responsibilities

· Serves as a liaison to ensure smooth communication between the VP for Development and a broad range of constituents, including board members, funders, partner organizations, and staff.

· Provides highly confidential executive-level support to the VP for Development, including managing calendars, answering phone calls, preparing letters, reports, and drafting minutes.

· Arranges travel for the VP for Development and the Director of Development as needed.

· Organizes major meetings and assists with stewardship of the Board and donors, such as identifying and sending gifts, thank you notes, etc.

· Plays a key role in establishing and maintaining administrative procedures and training in the Development Department and across the organization.

· Support development team by assisting with administering member benefits, such as Call and Response and serve as backup to the Patrons Desk, including house seat ticketing service for upper-level donors and board members, as well as providing professional customer service to annual donors and board members.

· Maintains, organizes, and updates hardcopy and electronic donor files.

· Maintains Tessitura system records for Board Directors, including meeting attendance, and supports periodic reporting.

· Processes invoices and expense reports for VP of Development and Director of Development.

· Safeguards the integrity of confidential information.

· Assists with special projects or other departmental responsibilities and tasks as assigned.


Qualifications

· Bachelor's degree required.

· Minimum of three years of experience handling executive-level administrative demands.

· Strong proficiency in Microsoft Office Suite. A working knowledge of Tessitura software is preferred.

· Excellent oral and written communication skills. Ability to communicate effectively with a wide range of internal and external stakeholders.

· Highly organized and detail oriented. Ability to manage multiple tasks simultaneously and meet deadlines accurately. Excellent time management skills and the ability to prioritize effectively.

· A collaborative team player with a strong sense of authority who is also open to feedback and suggestions.

· Must have tact, integrity, and exceptional judgment in confidential and complex situations.

· Must be available some nights and weekends as needed.

· Previous experience in a non-profit organization and appreciation for jazz culture are considered a plus.

Salary Range: $54,000 - $68,000
